Position Overview
The Senior Executive Coordinator will deliver comprehensive administrative support to three high-level executives. This role involves close collaboration with business leaders to facilitate seamless travel arrangements, manage calendars, and organize complex meetings, alongside other essential administrative functions. You will cultivate strong relationships and trust with executives and key stakeholders throughout the organization. This position demands independent judgment and the capability to coordinate activities, agendas, and business events for Senior Leaders. This is a hybrid role based in a dynamic work environment.
Key Responsibilities
- Provide proactive support by anticipating needs and identifying opportunities to enhance efficiency in daily operations.
- Employ a strategic mindset in scheduling and coordinating meetings, including preparing agendas and distributing minutes as necessary.
- Exhibit exceptional calendar management skills to handle intricate schedules, prioritizing inquiries and requests effectively.
- Organize travel logistics, including creating detailed itineraries and arranging transportation and accommodations.
- Plan and coordinate all logistical aspects of office and off-site meetings, training sessions, and events.
- Develop engaging PowerPoint presentations and other visual materials; draft correspondence in the executive's name while exercising discretion.
- Assist in project execution through tasks such as creating dynamic presentations and managing team schedules.
- Serve as a gatekeeper, screening and prioritizing incoming communications and meeting requests.
- Maintain up-to-date distribution lists, organizational charts, and contact information.
- Respond promptly to urgent requests and situations requiring immediate attention.
- Oversee event planning and management for team-building activities and off-site gatherings.
- Bachelor's degree or equivalent combination of education and experience.
- 5+ years of experience as an Executive Assistant supporting C-level executives or senior management.
- Proficient in interpreting data to produce professional documents, spreadsheets, and presentations.
- Outstanding organizational skills with the ability to manage multiple tasks while maintaining confidentiality.
- Demonstrated ability to manage interruptions and shifting priorities effectively.
- Ability to work at a computer for extended periods.
- Capability to perform physical tasks such as bending and reaching.
- Able to lift and move items weighing up to 25 pounds occasionally.
- Regular work hours of 40 hours per week, as required.
