Customer Service and Administration Manager

SERVPRO is a leading provider of fire and water damage restoration services. Our team is dedicated to helping customers in their greatest moments of need by repairing and restoring homes and businesses with an industry-leading level of service.
Job Summary:
We are seeking a highly motivated and detail-oriented individual to fill the role of Administrative Assistant. This position will provide administrative support to our office operations, including scheduling, customer service, and data entry.
Key Responsibilities:
- Provide exceptional customer service to internal and external customers
- Respond to emails and phone calls in a timely manner
- Prepare job paperwork for crew/estimator
- Prepare work orders
- Create and complete estimates
- Maintain job file documentation
- Communicate with management and technicians regarding job status
- Confirm subcontractor activity
- Perform job completions (i.e., uploads & final submissions)
- Maintain and organize file system
- Maintain company calendar/schedule
- Assist in communicating with clients and insurance adjusters
- Review and route bulletins
- Maintain company dispatch
- Maintain proper on-hand delivery of office and general supplies
- Assist with outgoing and incoming mail, e-mail, and faxes
- Maintain National Accounts Program Agreement (NAPA) green status
- Maintain compliant Third-Party Program Status
- Maintain Franchise specific compliance documentation
- Assist in billing customers for service
- Assist with accounts receivable
- Assist with AR meetings - when needed
- Perform computer back-ups and tests of back-ups
- Complete personal daily work order
