Administrative Services Supervisor

Job Summary:
The Administrative Services Supervisor will oversee the daily operations of the healthcare facility, ensuring seamless coordination and efficient management of administrative tasks. This role requires strong leadership and communication skills, with the ability to motivate and guide a team of support staff.
Key Responsibilities:
- Supervision of Clinical Support Staff: Hire, train, and direct support staff in business operations, perform performance reviews, and provide guidance and evaluation.
- Administrative Operations and Office Management: Oversee daily aspects of office functioning, including space allocation, supply chain, phone assignments, and equipment maintenance.
- EMR Training and Support: Teach EMR training classes to new associates and medical residents, provide ongoing consultation and support, and create and refresh training materials.
- Administration of EMR/Billing System: Monitor billing batch errors, assist with software installation and upgrades, and lead testing and defect tracking.
- Payroll and Benefits Administration: Monitor payroll for hourly and administrative employees, check and approve Advocate Works, and manage holiday schedules.
- BHS Safety Steward: Ensure safety protocols are followed, participate in hospital committees, and lead accreditation and licensure efforts.
- BHS Human Resources Administration: Maintain accurate HR files, serve as primary liaison to HR Direct, and represent HR compliance at audits and surveys.
- Clinicians' License Management: Ensure timely paneling of BHS staff with insurers, oversee malpractice insurance, and manage clinicians' licenses.
- BHS Records Keeping: Initiate and supervise PHI files archives, ensure documentation is stored and archived as required, and supervise chart keeping.
Requirements:
- Associates Degree in business administration, healthcare administration, or related field, and 2-4 years of healthcare billing experience, or 4-6 years of healthcare billing experience and 3-5 years of supervisory experience.
- Strong computer skills, interpersonal and communication skills, analytical and problem-solving skills, and customer service skills.
Working Conditions:
- Demonstrate commitment to patient-focused care, positive leadership, and ability to work flexibly in a fast-paced environment.
- Ability to travel to other Advocate sites and external facilities, work under time constraints, and respond to urgent needs.
