Licensing Operations Specialist

Position Overview:
As a Licensing Operations Specialist, your primary responsibility will be to ensure that all documentation related to the company's licensing procedures is thorough and precise. You will leverage your computer proficiency and interpersonal abilities to liaise with various stakeholders, including retail locations and licensing authorities, while providing support to the Licensing team. This role offers a hybrid work model, allowing you to work remotely for 2-3 days each week, with some flexibility in scheduling. The compensation for this position is $25.00/hour.
Key Responsibilities:
- Address inquiries from retail locations concerning license and permit renewals, infractions, and the provision of duplicate documents.
- Collaborate with other departments (such as fuel, tax, and facilities) to manage complex renewals and new licenses that require supporting documentation, including sales data and facility-related information.
- Monitor and finalize renewals that are approaching their deadlines.
- Investigate and resolve issues related to missing and expired permits by contacting relevant jurisdictions to obtain new permits as necessary.
- Conduct research on notices of deficiencies regarding permits that have failed inspections or lack necessary information.
- Maintain the licensing database, which is cloud-based.
- Assist in securing licenses and permits for new acquisitions and store openings, including completing application forms and conducting necessary research.
- Ensure that retail locations are informed about posting requirements and certification obligations for personnel.
- Accurately code license renewals and new licenses for proper payment processing, including batch submissions to accounts payable.
- Coordinate the payment of fines and collaborate with other departments regarding violations and penalties.
- Support day-to-day administrative functions.
- Perform additional duties as assigned.
Qualifications:
- A Bachelor's degree is preferred.
- Previous experience in an accounting, corporate, or legal setting is advantageous.
- Proficiency in Microsoft Office is required.
- Willingness to train the right candidate, who should be detail-oriented, a quick learner, possess a strong work ethic, and demonstrate excellent communication skills.
