Research Administration Manager

The Manager of Sponsored Research Administration will oversee the Research Administration function, encompassing pre-award and post-award activities for AAHI's sponsored research portfolio. This critical role collaborates across the organization to support Principal Investigators, Project Managers, Finance, and Legal teams.
Key Responsibilities- Lead proposal development and new opportunity management as the administrative point of contact.
- Identify external funding opportunities that align with the institute's research priorities.
- Review new funding opportunities and/or terms and conditions, highlighting key compliance requirements.
- Assist PIs and PMs in developing and submitting accurate proposal budgets and compliant proposal materials, interpreting sponsor guidelines, organizational policies, and federal regulations.
- Track proposal status and communicate with funding agencies regarding the review and award process, maintaining an up-to-date and accessible list of proposals and their status.
- Identify required cost sharing or other proposal requirements.
- Ensure all required proposal documentation for subrecipients is complete and compliant prior to submission.
- Monitor month-to-month balance of award funds, lead efforts to reforecast expenditures, prepare FAR 52.232-20(b) cost-to-complete analyses for submission to sponsors, and provide guidance to scientists to ensure grant funds are used in accordance with approved budget and applicable sponsor policy/regulation.
- Review and approve invoices and billings to funding agencies in a timely manner, coordinating with Finance and PMs/PIs.
- Assist in submitting progress reports in coordination with PIs and PMs.
- Originate subawards and subcontracts in collaboration with the Legal department, including conducting 2 CFR 200.331 determinations and Uniform Guidance risk assessments.
- Monitor awards made to subrecipients, including approval of subrecipient invoices, effort reporting, etc.
- Contribute to financial oversight of awards and compliance with applicable policy and regulation by serving as an internal control and interpreting sponsor cost principles for determination of allowable costs.
- Support the Finance department in compliance matters, including responding to auditor requests during Federal Single Audit.
- Ensure timely and appropriate closeout of sponsored projects per sponsor requirements.
- 5-7 years' experience working in a medical research environment, either at an academic institution, non-profit organization, clinical research site, or pharmaceutical/biotech organization.
- Three (3) years of experience in federal research award management (preferably research awards with NIH, NIAID, DoD, etc).
- Three (3) years of experience in managing FAR-based contracts.
- Previous experience managing a person(s) or team.
- Proven track record of success in grant and contract development with the federal government.
- Experience with Uniform Guidance Single Audits and federally negotiated indirect cost rate proposals strongly preferred.
- Ability to work with the Legal Department and federal contracting officer(s) to apply federal regulations to contract negotiations and management.
- Understanding of federal grant and contract budgeting and ability to manage award budgets in collaboration with Finance Department and PMs/PIs.
- Able to communicate complex information to all levels of the organization in a way the audience can understand.
- Ability to quickly learn changing technologies related to grants and contracts management.
- Experience with grants and contracts systems; require solid working knowledge of Microsoft 365 (including Word, Excel, and Power Point and the collaborative aspects of these applications in OneDrive/SharePoint).
- Ability to clearly communicate both verbally and in writing with all levels of the organization.
- Ability to manage and prioritize multiple projects/tasks.
