Key Responsibilities- Program Support: Provide routine and non-routine program correspondence and documentation, presentations, and briefings to internal and external stakeholders.
- Financial Tracking and Reporting: Track and report on program financials, including budgeting, forecasting, and variance analysis.
- Program Analysis and Reporting: Conduct in-depth analysis of program data and provide actionable recommendations to improve program performance.
- Documentation and Record-Keeping: Maintain accurate and up-to-date program documentation, including plans, schedules, briefings, reports, correspondence, contracts, and technical instructions.
- Communication and Collaboration: Interface with internal and external stakeholders to ensure effective communication and collaboration on program-related matters.
- Travel and Procurement Support: Assist with travel authorization approvals, coordinate with staff and government customers, and develop purchase requisitions and purchase orders.
- Subcontract Administration: Liaise with task leads to provide administrative support with subcontract administration.
- Team Support: Provide onboarding and offboarding support, manage team communications, email distribution lists, and calendar.
- MS Teams Management: Manage and maintain the MS Teams channel.
- Program Communications: Draft program communications, including reports, briefings, and presentations.
- Meeting Support: Assist with meetings, including scheduling, setup, note-taking, and follow-up.
- Master File Maintenance: Create and maintain master files and schedules related to program history, execution, and status.
- Technical and Non-Technical Reporting: Review, evaluate, and provide assessments of technical and non-technical program reports.
- Program Coordination: Interface with internal and external program participants to coordinate overall activities to support customer goals.
- Team Meetings: Coordinate, set up, advertise, and facilitate team meetings.
- Staff Supervision and Mentorship: Supervise and mentor other program management support staff on the contract.
- Education: Bachelor's degree in Business Administration or a related field of study or equivalent experience in lieu of degree.
- Experience: 5 years of relevant job experience.
- Skills: Demonstrated excellent verbal, oral, interpersonal, and written communication skills, including experience with developing and delivering presentations and desktop publishing.
- Attention to Detail: Demonstrated superior attention to detail and the ability to meet stringent deadlines.
- Organizational Skills: Demonstrated organizational skills and the ability to perform detail-oriented work.
- Problem-Solving: Demonstrated experience in working independently, taking initiative, and leading teams to analyze and resolve problems.
- Analytical Skills: Strong analytical, problem-solving, and decision-making capabilities.
- Time Management: Ability to prioritize and manage multiple activities simultaneously in a fast-paced, changing environment.
- Technical Skills: Demonstrated experience in Microsoft Office Suite products (specifically Microsoft Word, Excel, PowerPoint) and SharePoint Collaborative tools; data management systems like Costpoint and OnPoint; travel and procurement processes, tools, and technologies.
- Clearance: Ability to obtain a secret US government clearance. Note: US citizenship is required to obtain a secret clearance.
- Travel: Ability to travel CONUS and OCONUS. Ability to obtain a United States Passport.
- Foreign Military Sales Knowledge: Knowledge of Foreign Military Sales.
- Government Contracting Experience: Prior experience in Government contracting.
