Business Office Manager Job Description

Franklin Park Sonterra, a premier retirement community in San Antonio, is seeking an experienced Business Office Manager to join our team of dedicated professionals.

Our campus offers independent living and assisted living apartments, with amenities including a swimming pool, art studios, meeting spaces, and fitness equipment.

The Business Office Manager supports day-to-day operations, responsible for resident files, personnel files, payroll, and managing the concierge team. Key duties include:

  • Recruiting, scheduling, and oversight of the concierge team
  • Generating resident billing with accuracy
  • Posting receivables daily and scanning checks for deposit
  • Logging move-in and move-out information into Yardi
  • Processing refunds
  • Assigning all expenses to proper account codes
  • Issuing late notices, balance due letters, credit letters, eviction notices, etc.
  • Assisting the Executive Director with collections questions, resident communications, move-out notices, renewals, etc.
  • Completing and submitting payroll
  • Assisting with human resources activities, including workers comp claims and administration of company benefits
  • Supporting resident satisfaction and retention by providing excellent customer service

The working environment is fast-paced and requires someone who can handle a high volume of work. The Business Office Manager reports to the Executive Director and supervises the concierges and a compliance coordinator. Prior business office or office manager experience is essential, with experience working in a retirement community preferred.

Formal training in bookkeeping/accounting is required, with an associate's or bachelor's degree preferred. Computer skills, including Microsoft Word and Excel, and other Microsoft products, are required. A working knowledge of Yardi is preferred.

A proven leader who can make independent judgments and oversee the work of others, while working collaboratively with other department heads, is required.

Applicants may be required to pass an exam covering a range of relevant subjects, including proofreading, accounting terminology, bank reconciliations, Excel spreadsheets, and general business knowledge.
