Position: Front Desk Coordinator
Department: Administrative Services
Compensation: $16-$18 per hour, based on experience

Key Responsibilities:

  • Ensure the front desk area is well-organized and visually appealing.
  • Manage client check-ins and check-outs efficiently.
  • Provide detailed information about products and their advantages to potential clients.
  • Engage with clients through various communication channels to understand their needs.
  • Maintain comprehensive knowledge of the company's offerings.
  • Build and maintain strong relationships with clients visiting the facility.
  • Oversee client communication through messaging systems.
  • Perform administrative duties, including processing sales transactions as necessary.
  • Product Promotions Management: Collaborate with the General Manager to inform medical providers about current promotions and rebates. Ensure accurate tracking and correction of any discrepancies related to promotions.
  • Scheduling Coordination: Work alongside the Clinical Administrator to optimize provider schedules and track relevant data in Excel.
  • Training and Event Coordination: Assist in updating training schedules and managing logistics for educational events.
  • Client Retention Analysis: Compile and analyze data on client visits to evaluate retention rates.
  • Attend management meetings to document minutes and provide updates on various operational aspects.
  • Audit Responsibilities: Conduct ticket audits as required.
  • Additional Duties: Perform other tasks as assigned by management.

Reporting Structure:
  • Reports directly to the Store Manager.
Job Requirements:
  • Ability to lift up to 25 lbs.
  • High School Diploma required.
  • Compliance with health mandates regarding vaccinations is mandatory.
Experience and Qualifications:
  • 1-2 years of experience in a relevant field within aesthetic medicine.
  • 2-3 years of experience in a front desk role.
  • Previous experience in a medical spa setting is advantageous.
  • Familiarity with software such as Zenoti, Microsoft Office, and FileMaker is preferred.
