Human Resources Staffing Specialist - Nursing Administration

Qualifications:

Required Minimum Education: High school diploma or equivalent is mandatory.

Preferred Education: Bachelor's degree in Human Resources or relevant HR experience is advantageous.

Required Minimum Experience: A minimum of 3 years in talent acquisition, human resources, staffing, marketing, customer service, or a related field managing processes.

Required Minimum Skills: Proficient in developing, establishing, and executing processes. Ability to swiftly adapt to shifting priorities; highly versatile. In-depth knowledge of Administrative and HR policies and procedures. Exceptional communication skills and relationship management capabilities to engage with employees at all levels. Competent in handling confidential and sensitive information; capable of maintaining a high degree of accuracy, often in urgent situations. Strong background in customer service. Ability to work autonomously on a diverse range of projects. Capable of exercising sound judgment and sensitivity to evolving needs and circumstances. Proficient in generating reports, analyzing data, and making informed recommendations. Detail-oriented with the capacity to efficiently manage multiple priorities and assignments to meet deadlines while maintaining professional composure. Familiarity with applicant tracking systems, recruiting, and employee records systems software is preferred. Working knowledge of The Joint Commission Human Resources and Nursing area standards.

Responsibilities:

Contractor Onboarding Duties:
  • Responsible for ensuring the coordination and completion of all contractor preboarding activities.
  • Communicates with contracting firms regarding background checks, drug screenings, employee health appointments, and the review of employee health information, coordinating candidate activities and progress through the preboarding process, ensuring the entry of all necessary contractor information.
  • Provides guidance to contracting firms/contractors regarding required documentation.
  • Creates a Contractor Orientation list, notifying contracting representatives of potential barriers or missing documents to be obtained promptly.
  • Informs leaders and HR of any anticipated delays.
  • Manages and organizes a list of missing items from contractors.
  • Collects, manages, and verifies outstanding items from contractors, such as BLS cards and licenses.
  • Reviews and finalizes contractor files.
Scheduling Duties:
  • Coordinates the scheduling process for nursing units and ensures timely completion of all tasks.
  • Addresses scheduling issues with department directors/managers as necessary.
  • Reviews unit schedules for accuracy and completeness, referring necessary corrections back to the manager to ensure appropriate staffing.
  • Develops and maintains a process for effective communication of schedule changes with managers.
  • Prepares and distributes unit-specific reports on absenteeism, FMLA, overtime, sitter usage, etc.
  • Maintains the automated nursing scheduling system manuals and workbooks in alignment with the vendor's latest system updates.
  • Actively participates in the development and revision of policies related to nursing staffing and scheduling.
  • Demonstrates knowledge of principles and policies regarding staffing efficiency and its relationship to the automated scheduling system and recommended staffing ratios.
  • Recommends necessary changes in staffing and scheduling processes to enhance the efficiency of the staffing office.
  • Collaborates with Information Systems to ensure the automated system's functionality aligns with updates to meet staffing program needs.
  • Acts as a liaison between the automated scheduling system account representative and Hospital leadership to ensure timely updates, educational activities, and software changes.
  • Participates in checks and balances to ensure nursing schedules are accurate and complete, maximizing efficiency and responsible resource use.
  • Performs daily adjustments for call-ins, census fluctuations, sitter needs, etc., on a shift-to-shift basis.
  • Conducts training sessions for nursing personnel on the automated staffing program.
  • Develops and maintains an auditing process to verify schedule entries and accuracy regularly, providing variance reports after each scheduling period.
  • Actively engages in resolving discrepancies and scheduling system issues that may lead to inaccuracies.
  • Collaborates with managers and human resources to provide insights on team members who have exhausted FMLA or LOA benefits, violated absentee policies, or have excessive overtime and unscheduled leaves.
Customer Service:
  • Demonstrates strong communication skills and builds trusting relationships with HR leaders, department/unit/practice leaders, vendors, Supply Chain, and Legal to ensure processes are adhered to and sound.
  • Acts as a liaison and problem-solver for leaders to ensure timely assignment and execution of processes.
  • Generates reports as needed to assist customers with inquiries.
  • Responds to internal and external customers promptly.
  • Creates a work environment that fosters premier customer service standards.
  • Ensures exceptional customer service is maintained at all times.
