Event Planning Specialist - Role Overview

Key Responsibilities:

Retail Events & Programming Support (60%):

  • Assist in the planning and execution of retail marketing and public events at our properties.
  • Collaborate with the Events Manager to create seasonal campaigns, promotions, and events.
  • Monitor and document details for merchant and tenant events.
  • Manage event-related expenses and maintain an updated calendar for all events.
  • Coordinate meetings and document notes as necessary.
  • Engage with local agencies as required.
  • Create public event ticketing pages and oversee sales.
  • Draft event descriptions and gather necessary marketing materials.
  • Respond to inquiries related to events from various stakeholders in a professional manner.
  • Develop event timelines and logistical diagrams.
  • Provide administrative support throughout the contracting process.
  • Collect and track vendor certificates of insurance.
  • Process security deposits and purchase orders for events.
  • Research and manage inventory for event supplies.

Onsite Operations (30%):

  • Serve as the primary onsite contact for retail marketing and public events.
  • Ensure effective communication of logistics and operations for merchant events.
  • Collaborate with property teams to guarantee successful event execution.
  • Oversee signage placement and manage cues for special activations.
  • Distribute event reports and reminders to relevant teams.

Additional Responsibilities (10%):

  • Contribute ideas for events, retail, and marketing strategies.
  • Occasionally capture onsite photography of events.
  • Monitor digital trends in events and retail.
  • Perform other duties as assigned.

Qualifications:

  • A minimum of two years of relevant experience.
  • A four-year degree from an accredited institution is preferred.
  • Flexible availability to work evenings and weekends as needed.
  • Strong creative instincts and collaborative abilities.
  • Excellent time management and organizational skills.
  • Effective communication skills with partners and vendors.
  • Proficiency in English, with additional skills in Spanish or Mandarin being a plus.
  • Strong knowledge of Microsoft Office applications.
  • Attention to detail and ability to follow instructions accurately.
