Department Overview

The Legal Administrative Assistant assigned to the Intake Bureau undertakes a range of entry-level specialized clerical support tasks of limited complexity, adhering to established guidelines and procedures within the legal system.

Qualifications Required

  • Minimum of one year of experience in specialized clerical and customer service roles
  • High school diploma or GED

Additional Requirements

  • A thorough background check is mandatory for all successful candidates, and drug testing may be conducted prior to placement.

Preferred Qualifications

  • Experience in clerical or customer service roles within a legal office, judicial, or law enforcement setting.

Key Responsibilities

  • Welcome and assist incoming visitors
  • Manage the bureau's phone line
  • Oversee the bureau's email communications
  • Address inquiries from both internal and external clients in person and via phone
  • Sort and distribute incoming mail
  • Log case submissions from law enforcement agencies
  • Copy, scan, and upload case-related documents into the case management system
  • Assist with document delivery tasks
  • Retrieve case information from various court and law enforcement databases
  • Conduct criminal history checks and maintain accurate data entry
  • Document and track monthly work statistics
  • Maintain a current Terminal Operator Certification with the Department of Public Safety

Work Environment

  • Primarily office-based in a high-volume, fast-paced setting
  • Requires extended periods of sitting while performing computer tasks
  • Ability to travel to various locations for meetings and training
  • Capability to lift boxes and/or pull mail carts as needed
