Sales Operations Specialist

POSITION SUMMARY

The Sales Operations Specialist plays a crucial role in managing and facilitating all elements of assigned accounts overseen by the sales department. This includes, but is not limited to, ensuring a high level of client satisfaction through the development of strong relationships with suppliers, clients, and other relevant business partners; overseeing intricate schedules and providing administrative support; and delivering customer service across all internal departments and external partners to guarantee the precision of each client's orders. The ideal candidate will exhibit exceptional organizational and administrative capabilities with a strong focus on customer service.

Key Responsibilities:

The following responsibilities serve as a general guideline and are not intended to encompass the complete range of duties. Responsibilities may evolve based on business requirements and management's discretion.

  • Facilitates and manages sales orders from initiation to fulfillment.
  • Verifies sales orders for accuracy, collaborating with sales representatives, sales managers, and suppliers on inquiries and adjustments.
  • Assists sales representatives in resolving internal and external discrepancies related to orders.
  • Procures, monitors, and provides updates on equipment, attachments, batteries, and other material handling products specified in sales orders through Purchase Orders.
  • Generates work orders, collaborating with the Service Team to prepare equipment.
  • Works with all internal departments for customer account setup and status, securing equipment demonstrations, and coordinating delivery dates and/or pickups.
  • Maintains organized records of customer sales orders for research and auditing purposes, including gross profit analysis.
  • Provides information on special incentives and order summary communications.
  • Maintains accurate reporting of equipment backlog.
  • Conducts inventory assessments of equipment and related items as requested, rectifying inaccuracies within the ERP system.
  • Raises awareness of daily sales order challenges.
  • Tracks, calculates, and reports on sales commissions.
  • Produces memos, emails, and reports as necessary.
  • Responds to inquiries and requests for information promptly, effectively, and professionally.
  • Handles incoming calls/emails and assumes additional administrative responsibilities as required.
  • Ensures deadlines are adhered to, and tasks are completed with precision.
  • Implements and monitors programs as directed.
  • Addresses customer inquiries and escalates issues as necessary.

Qualifications/Additional Requirements:

  • High School Diploma or equivalent required; some college education preferred.
  • 2 - 3 years of experience in sales, project coordination, or a buyer/planner role in a fast-paced, high-volume environment.
  • Detail-oriented with a strong emphasis on accuracy.
  • Proficient in Microsoft Office Suite, ERPs, and CRMs.
  • Demonstrated ability to meet deadlines and prioritize tasks effectively.
  • Strong written, verbal, organizational, problem-solving, and analytical skills.
  • Able to manage multiple projects, tasks, and stakeholders within tight timeframes and communicate effectively.
  • Experience managing a large team of sales personnel (15 – 20).

Compensation Range: $24-$34/hr.
