Job Description

We are seeking a highly organized and detail-oriented Administrative Assistant to support our Landscape Architecture team at KEITH. As a key member of our team, you will be responsible for providing administrative support to our landscape architects and engineers.

Responsibilities:

  • Manage permits and FM projects in our project management tool, ensuring timely completion and accuracy.
  • Assist with invoice content reviews and file management, maintaining up-to-date records.
  • Support the preparation of Outdoor Advertising (ODA) Clear Letters and Designated View Zones (DVZ).
  • Contribute to the Wildflower program, including collecting quotes, tracking seed usage, and conducting inspections.
  • Prepare Task Work Orders (TWO) and Letters of Authorization (LOA) for supervisors.
  • File emailed invoices and inspection reports, maintaining a organized and secure digital archive.

Requirements:

  • Proficiency in computer skills, including Microsoft Office (Word, Excel, Outlook).
  • Professional, customer service attitude and appearance.
  • Solid written and verbal communication skills.
  • Excellent organizational skills.
  • Multitasking and time-management skills, with the ability to prioritize tasks and maintain attention to detail.
