Position Summary: The Client Services Coordinator plays a crucial role in conducting thorough research and verification for construction projects while delivering outstanding service to assigned accounts related to the preliminary notice and mechanic's lien processes. This role requires regular communication with clients to ensure timely and accurate completion of tasks.

Key Responsibilities:

  • Manage a high-volume queue of preliminary notices in compliance with state regulations and deadlines.
  • Conduct comprehensive project research utilizing county assessor and recorder resources, as well as state websites.
  • Perform internet research and GIS mapping, along with other proprietary investigations (e.g., contractor licenses, building permits, property ownership).
  • Execute searches on various state registries to connect preliminary notices as necessary.
  • Process amendments, withdrawals, releases, and other relevant documents.
  • File documents with county clerk offices and follow up to ensure proper recording.
  • Oversee the mechanic's lien and bond claim processes through diligent document tracking and follow-up.
  • Prepare and coordinate lien services for attorney review and handling.
  • Examine required documentation and resolve any discrepancies with clients.
  • Review preliminary notices and various documents for compliance and accuracy.
  • Audit preliminary notices for necessary signatures and notarization.
  • Manage correspondence related to preliminary notices.
  • Handle return mail escalations for preliminary notices.
  • Track and manage deadlines for preliminary notices.
  • Prioritize tasks to ensure statutory deadlines and company turnaround times are met.
  • Update project systems as needed.
  • Assist with Payment Bond Investigations.
  • Deliver exceptional client service promptly.
  • Coordinate multiple construction projects simultaneously.
  • Engage in departmental initiatives, projects, and process improvements.
  • Perform additional duties as assigned.

Education and Experience:

  • Associate's degree; Paralegal or Bachelor's degree preferred.
  • Minimum of 1 year of experience in a professional office setting or 3 years of relevant experience in lieu of a degree.

Physical and Mental Requirements:

  • Effective communication skills in person, via phone, and through email.
  • Manual dexterity for various tasks.
  • Near visual acuity for detailed work.
  • Ability to sit for extended periods while using a computer.
  • Frequent typing and use of keyboard/mouse.
