As a Legal Administrative Coordinator, you will deliver high-quality and efficient legal secretarial and administrative support, maintaining strong client relationships while assisting a team of attorneys, specialists, legal assistants, managers, and directors. You will alleviate team members of clerical tasks and minor administrative details. This role demands (i) teamwork; (ii) the ability to collaborate closely and effectively with others; (iii) strong communication and technical skills; (iv) the capacity to prioritize and set work objectives; and (v) the ability to thrive under deadlines and high-pressure situations.

Key Responsibilities:

  • Client Interaction: Manage incoming calls, take accurate messages, provide information to callers, and refer inquiries to appropriate team members. Ensure timely and relevant communication with clients and team members in a professional and courteous manner.
  • Appointment Management: Organize appointments, including meetings, conferences, court dates, and depositions for team members. Coordinate workflow and prioritize tasks to meet all deadlines. Arrange travel itineraries and reservations for team members, and reserve conference rooms for meetings while coordinating necessary equipment and catering services.
  • Document Management: Maintain organized and up-to-date files according to firm guidelines, including client files, chronological records, administrative documents, court filings, and ongoing case materials. Ensure quick retrieval of information, manage document control, and update materials as needed. Close files and manage storage in accordance with firm policy.

Qualifications:

  • Preferred: College Degree or Equivalent.
  • Proficient in MS Office applications (Word, Excel, PowerPoint, and Outlook).
  • Exceptional organizational skills with the ability to prioritize multiple tasks while maintaining attention to detail.
  • Strong interpersonal skills with the ability to cultivate relationships with internal and external partners, attorneys, staff, and clients.
  • Effective oral and written communication skills.
