Job Summary

As a Service Administrator at Syntegon Technology, you will play a vital role in supporting the Field Service team in an administrative capacity. Your primary responsibilities will include managing day-to-day requirements from field service and customers, including payroll, expenses, invoicing, and system reconciliation.

Key Responsibilities
  • Provide telephone support for the Field Service Department, independently acting on questions or issues and/or redirecting calls to the appropriate areas for resolution.
  • Compare hours worked in timekeeping systems with service records to ensure time is accurately recorded.
  • Review and ensure that Service Reports are accurate before submitting to the customer.
  • Submit expense reports for field service technicians using Company form to reconcile by matching receipts to expenses.
  • Manage and reconcile purchase orders, invoices, and billing for customers and third-party vendors.
  • Coordinate the schedule to ensure calibration of equipment and regular maintenance is completed.
  • Analyze and maintain all service reports and tracking spreadsheets for the department.
  • Maintain the electronic directory of field service files on the Company Network.
  • Order supplies, PPE, shirts, and jackets for the field service department.
  • Use SAP and Microsoft Office to manage administrative tasks.
  • Perform other duties as assigned.
Qualifications
  • High school diploma
  • 2 years of administrative experience
  • 2 years of PC usage with Microsoft Word, Excel, Outlook

  • Ability to perform multiple tasks with accuracy and professionalism
  • Outstanding planning and organizational skills
  • Ability to manage time efficiently
  • Experience with SAP or other ERP
  • Attention to detail and accuracy in all phases of work performed
  • Ability to collaborate and build rapport with people throughout the organization
