Job Summary

We are seeking a highly skilled and compassionate Administrative Support Specialist to join our team at Homeless Health Care Los Angeles (HHCLA). As an essential member of our operations team, you will provide critical support in various administrative functions, ensuring the smooth delivery of our comprehensive behavioral health and holistic healthcare services.

Estimated Salary: $45,000 - $55,000 per annum, depending on experience and qualifications.

Main Responsibilities:

  • Provide exceptional administrative support to program staff, including data entry, report generation, and filing.
  • Greet clients, direct them to appropriate programs and services, and maintain a high level of customer service standards.
  • Answer and triage telephone calls, redirecting callers to relevant resources and referrals as needed.
  • Oversight of front office operations, ensuring quality customer service and a trauma-informed environment.
  • Conduct quality improvement and assurance functions, including chart audits, data review, and system tracking.
  • Assist with preparation, coordination, and setup for trainings, programs, and agency events.
  • Implement harm reduction, trauma-informed care, housing first, and integrated care interventions consistently.
  • Serve diverse client populations, communicate effectively, and maintain cultural competency.
  • Schedule intakes and appointments for behavioral health services.
  • Generate and complete programmatic and financial reports according to funding requirements.
  • Support Program Director with special projects, including database development, electronic forms, and chart monitoring.

Requirements and Qualifications:

  • High school diploma or equivalent, plus one year of administrative support experience and/or Bachelor's degree.
  • Familiarity with principles of Harm Reduction, Motivational Interviewing, Trauma-Informed Care, Housing First, and Integrated Care.
  • Experience working with culturally diverse communities and vulnerable populations.
  • Strong data entry skills, ability to multitask, and work under time constraints.
  • Excellent communication, problem-solving, and time management skills.
  • Maintain confidentiality and adhere to HIPAA standards.
  • Possess a valid California Driver's License, registered vehicle, and insurance.
