Job Summary:

We are seeking a highly organized and detail-oriented Project Assistant to support our project management team. The successful candidate will be responsible for coordinating and assisting with various project-related administrative activities, ensuring seamless project execution and timely delivery.

Key Responsibilities:

  • Administrative Support: Provide administrative assistance to project managers and engineers, including preparing and sending preliminary notices, processing invoices, and maintaining detailed logs.
  • Contract Management: Assist with the preparation and issuance of agreements, tracking compliance items, and obtaining signatures.
  • Insurance and Certifications: Request and review updated insurance certificates for subcontractors and suppliers, and maintain accurate records.
  • Project Coordination: Coordinate with project teams to ensure timely completion of tasks, and assist with the generation of job start-up folders and other project-related documents.
  • Communication and Collaboration: Communicate effectively with various departments and teams, and maintain strong relationships with clients and stakeholders.

Requirements:

  • Technical Skills: Proficiency in Microsoft Office, Adobe, Bluebeam, and Timberline/Timberscan Accounting program.
  • Soft Skills: Strong communication, multitasking, and organizational skills, with the ability to work independently and as part of a team.
  • Education and Experience: High school diploma or equivalent, with 1-2 years of experience in a related field.
