We invite qualified candidates to consider the role of Property Management Assistant. This position plays a crucial role in supporting the daily operations of our communities, focusing on marketing, leasing, and fostering positive customer relations.

Key Responsibilities:

Compliance Management

  • Prepare and maintain resident files, ensuring all necessary documentation is complete.
  • Coordinate lease signings and manage associated paperwork.
  • Assist in preparing move-out documentation for the property manager.
  • Maintain compliance reporting and ensure all materials meet government standards.
  • Utilize YARDI software for data entry and reporting.
  • Support subsidy administration in line with HUD regulations.

Financial Oversight

  • Collect rent payments and manage daily bank deposits.
  • Assist in purchasing decisions in accordance with budgetary guidelines.
  • Monitor budget variances and communicate findings to the property manager.
  • Issue reminders for late rent payments.

Property Management Duties

  • Schedule and conduct apartment showings, ensuring a thorough application process.
  • Conduct market surveys to assess competitive properties.
  • Respond to incoming inquiries and greet all visitors warmly.
  • Maintain accurate resident files and ensure timely follow-ups with prospective residents.
  • Oversee maintenance requests and ensure common areas are well-kept.
  • Assist in organizing community events and functions.
  • Act in the property manager's stead when required.

Qualifications:

  • Familiarity with government housing subsidy programs is preferred.
  • Experience in leasing or property management is advantageous.
  • Flexibility in office hours based on property needs.

Skills and Abilities:

  • Strong verbal and written communication skills.
  • Exceptional sales and customer service abilities.
  • Proficiency in Microsoft Office applications.
  • Detail-oriented with strong organizational skills.
  • Ability to manage multiple tasks effectively.

Education:

  • Preferred coursework in property management, business, or real estate.
  • Post-secondary education is a plus.

Physical Requirements:

  • Ability to lift light objects and perform tasks requiring physical activity.
  • Capacity to sit or stand for extended periods.
