A.I.S., Inc. (AIS) is a leading scientific services organization dedicated to supporting maritime operations that require adherence to environmental compliance standards, as well as gathering data for Federal, State, Municipal, and other governmental entities along the U.S. coastline. AIS is in search of a full-time Marine Logistics Specialist to facilitate various marine biological data collection and sampling initiatives along the Atlantic and Gulf Coasts.

Key Responsibilities:

The Marine Logistics Specialist will manage logistical support activities for two operational divisions executing offshore mitigation strategies for wind energy projects and fishery observation initiatives. This role will operate on a schedule from Friday to Tuesday each week.

Core Duties:

Oversee employee logistics management:

  • Maintain a comprehensive contact directory and engage with a network of service providers (accommodations, transportation, airlines, etc.) to foster professional relationships, negotiate competitive rates, arrange employee travel, and facilitate payment processes.
  • Ensure all employee travel complies with the Federal Travel Regulations (FTR) as necessary.

Guide employees in adhering to travel protocols and monitor travel status:

  • Update collaborative spreadsheets and documents that track employee labor, vessel deployments, sea day achievements, and other project metrics.
  • Evaluate travel performance metrics and recommend strategies for enhanced efficiency.
  • Monitor CPR/First Aid and physical certifications along with other necessary field staff qualifications, guiding employees in the renewal of these certifications.
  • Support the employee evaluation process by tracking deadlines, preparing evaluations, and reviewing completed assessments.

Assist in the upkeep of field biologist equipment:

  • Manage the equipment inventory spreadsheet.
  • Prepare gear for upcoming field staff assignments.
  • Inventory and sanitize equipment returned from field operations.
  • Backup data collected on company-issued devices to secure storage locations.

Training assistance:

  • Maintain a record of individuals interested in employee training sessions.
  • Provide support to participants during training events.

Additional responsibilities for other AIS initiatives:

  • Respond to industry inquiries through the AIS support line.
  • Perform various tasks as needed to support AIS projects and programs nationwide.
  • Assist with task order management.
  • Review and authorize employee expense reimbursement requests, organize documentation, and summarize data for invoicing.
  • Verify employee labor/activity reported on timesheets by cross-referencing communications and other records, employee timesheets, and completing data entry.
  • Candidates may be required to undertake responsibilities outside of their usual duties as necessary.

Compensation: The selected candidate will receive a salary that will be negotiated, with total compensation varying based on experience. This is a full-time position. AIS offers a comprehensive benefits package, including health and dental insurance, vacation, sick leave, and holiday benefits.

Minimum Qualifications:

  • Availability to work Friday through Tuesday weekly.
  • Exceptional written and verbal communication skills to maintain contact with staff, stakeholders, vendors, and clients.
  • Self-motivated, independent, and a strong team collaborator.
  • Ability to work efficiently with a strong focus on accuracy and thoroughness.
  • Demonstrated leadership capabilities and the ability to foster positive team dynamics.
  • Proficient in MS Office Suite applications (Excel, Word, etc.).
  • Highly organized with the capacity to manage multiple tasks effectively.
  • Possession of a valid driver's license.

Preferred Qualifications:

  • Bachelor's Degree in a natural or life science.
  • Experience as a Fishery Observer, the ability to obtain certification, or other relevant field sampling experience.

Travel Requirements:

  • Some travel may be necessary, for which standard government travel reimbursement policies will apply.
