POSITION SUMMARY

The Warranty-Service Clerk is responsible for ensuring the efficient operation of the Service Department. This includes preparing shop repair orders for closure, maintaining a duplicate file of all warranty claims, and assisting with the prompt shipping of defective warranty parts.

KEY RESPONSIBILITIES

Essential duties include, but are not limited to:
1. Process all shop orders upon job completion, ensuring accurate listing of repairs and correct charging of parts and labor.
2. Prepare warranty claims for all eligible repair orders and submit them to the Warranty Manager for closure approval.
3. Generate warranty claims in PMT for all defective parts purchased by customers, facilitating submission by the Warranty Manager.
4. Assist the Warranty Manager in correcting and re-filing warranty claims returned due to errors in a timely manner.
5. Maintain a ledger of all parts returned for warranty, ensuring accurate documentation and weekly reporting to the Warranty Manager.
6. Create and file copies of all warranty claims, credits, debits, and related documents.
7. Ensure all parts are returned to their designated locations on a weekly basis.
8. Address warranty inquiries from service, parts, and sales departments.
9. Support the Service Department by answering phones during busy periods.
10. Regularly monitor open repair order reports to ensure proper documentation flow through the dealership.

ADDITIONAL TASKS

Willingness to perform other miscellaneous tasks as required by the business.

EDUCATIONAL BACKGROUND
  • A minimum of a high school diploma is required; additional coursework is advantageous but not mandatory.
  • Willingness to engage in continuing education as necessary.
EXPERIENCE REQUIREMENTS

A minimum of 1 year of experience in parts or service is required, with 2 years preferred. Experience with warranty processes is beneficial but not essential.

SKILLS & ABILITIES

Ability to interpret computer-generated reports, invoices, and other documentation. Proficiency in manual calculations or using calculators/computers is required. Must be adept at operating computer terminals, 10-key calculators, fax machines, and other office equipment. Strong communication skills are essential for effective interaction with customers, vendors, and colleagues.
