Job Summary

As a key member of the Palo Alto Unified School District team, the Payroll Technician will play a critical role in ensuring the accuracy and efficiency of district payrolls. This position requires a high level of skill in spreadsheet use and database management, as well as the ability to maintain strict confidentiality.

Responsibilities
  • Prepare regular and variable payrolls for Classified personnel, ensuring timely and accurate processing.
  • Enter new employee information into the payroll system, maintaining up-to-date records.
  • Receive, check, and extend vouchers for part-time and substitute classified employees, adhering to district policies.
  • Recap payroll by various groups and balance against audits received from the County Office of Education, ensuring accuracy and compliance.
  • Assist the audit staff in their Annual Review of district payroll books and records, providing support and expertise.
  • Answer inquiries from employees regarding pay status, providing clear and concise information.
  • Prepare various reports and assist the Coordinator with other tasks as assigned, demonstrating flexibility and adaptability.
  • Maintain close working relationships with the budget office, personnel offices, County payroll and retirement offices, and District employees, fostering collaboration and communication.
  • Distribute payroll warrants and W-2 forms, ensuring timely and accurate delivery.
  • Perform responsible payroll and clerical work independently, exercising sound judgment and discretion.
  • Learn specific public laws, school district regulations, and procedures relevant to the duties required, staying up-to-date with changing requirements.
  • Demonstrate skill in a variety of computer applications, including word processing, databases, spreadsheets, and communication software, leveraging technology to enhance productivity.
  • Make arithmetical calculations with speed and accuracy, ensuring precision and attention to detail.
  • Communicate effectively both orally and in writing, conveying complex information in a clear and concise manner.
  • Analyze situations accurately and adopt an effective course of action, exercising sound judgment and problem-solving skills.
Requirements / Qualifications

The ideal candidate will possess a strong foundation in business and accounting principles, with a minimum of three years of experience in financial record maintenance. A high level of proficiency in spreadsheet use and database management is essential, as is the ability to maintain strict confidentiality. The successful candidate will be a team player, with excellent communication and analytical skills.
