The Experiential & Events Specialist plays a vital role within the Dole team, significantly contributing to the company's event and trade show marketing strategy and execution. This position will lead the creation of company merchandise and event materials, manage product sampling and gifting initiatives, and oversee key employee event programs. The ideal candidate will demonstrate a successful history of planning and executing prominent events from inception to conclusion.
We seek an individual who excels in innovative thinking and problem-solving, motivated by challenges. The perfect candidate will possess exceptional organizational and creative abilities to effectively bring brand initiatives and products to life in a captivating manner.
This position offers the flexibility to work in a hybrid environment, combining remote work with time in our office. (Hybrid is defined as three days per week in the office.)
Key Responsibilities:
- Collaborate with retail and B2B marketing and sales teams to establish an optimal schedule of consumer events and trade shows in key markets annually.
- Develop and disseminate annual event calendars and schedules to ensure all staff are informed of upcoming events.
- Evaluate event marketing and product sampling opportunities, providing recommendations to the Communications Manager and cross-functional teams as necessary.
- Manage workflows related to event planning, coordinating with various teams as needed.
- Innovate event concepts and experiences, partnering with the brand team to ensure consistency and engagement.
- Oversee logistics for all trade shows and events, including contract negotiations, venue arrangements, booth design, presentation materials, security, catering, entertainment, AV, transportation, accommodations, and marketing collateral.
- Create and organize marketing materials, both physical and digital.
- Ensure timely ordering and delivery of product samples and marketing materials for events.
- Act as a brand ambassador at events, addressing inquiries and resolving issues as they arise.
- Build strong relationships with third-party event organizers, builders, and suppliers for effective execution.
- Collect and share valuable feedback from events with vendors and organizers.
- Draft comprehensive event plans covering venue, staffing, displays, sound and lighting, food and beverage, equipment, entertainment, and other necessary functions.
- Serve as the primary contact for vendors regarding quotes, contracts, and invoices.
- Ensure timely and budget-compliant execution of event projects by monitoring expenditures and managing timelines effectively.
- Report on final event expenditures and provide insights to the VP of Marketing for future budget planning.
- Perform additional duties as assigned.
Qualifications:
- Minimum of 5 years of marketing and event experience, preferably in the CPG or Food Service sectors.
- Experience in managing trade show events is preferred.
- Strong planning, project management, and organizational skills to handle multiple activities and resources concurrently while meeting deadlines.
- Creative thinker with robust marketing skills to engage event attendees effectively.
- Ability to forecast and manage event budgets proficiently.
- Capability to adapt and resolve challenges as they arise.
- Passion for working with purpose-driven organizations.
- Proficiency in the MS Office Suite is required.
- Creativity: Proven ability to devise and implement innovative event concepts and solutions, demonstrating strong problem-solving skills.
- Communication: Excellent written and verbal communication skills, with the ability to engage with all levels of management and cross-functional teams.
- Project Management: Experience leading cross-functional teams and external agencies to complete projects within specified timelines.
- Time Management: Ability to prioritize and manage workloads effectively in a fast-paced, dynamic environment.
- Team Collaboration: Works well in a team setting to ensure optimal event execution.
- Accountability: Takes full ownership of projects, timelines, and deliverables.
- Flexibility: Willingness to work flexible hours, including evenings and weekends, as required by event schedules.
- Positive Attitude: Commitment to fostering a positive work environment and collaborating as a unified team to achieve goals.
- Bachelor's degree in Marketing or a related field is required.
- Ability to sit and use a computer for extended periods; answer phones and operate various office equipment; lift up to 30 pounds and reach overhead.
- Approximately 20-25% travel may be required, including weekends and overnight stays as necessary.
