Job Overview

Position Summary:

The Tenant Services Administrator plays a crucial role in managing ongoing initiatives and facilitating communication between internal and external tenant teams. This position is essential for addressing tenant needs and resolving issues effectively. The Tenant Services Administrator will cultivate and sustain strong professional relationships with tenants at Hall of Fame Village, ensuring that all concerns are addressed promptly and appropriately. This role also encompasses various administrative, accounting, help desk, and event coordination responsibilities relevant to tenant operations.

The ideal candidate will demonstrate proactive problem-solving abilities, exceptional communication skills, and a keen attention to detail. This individual should possess the foresight to anticipate tenant needs and support the strategic initiatives of a rapidly expanding organization. Given the dynamic nature of the campus and tenant teams, flexibility and discretion are vital, particularly regarding sensitive operational matters. The ability to thrive under pressure in a fast-paced environment is essential.

Key Responsibilities:

  1. Serve as the primary on-site support for tenant relations, fostering positive relationships with tenants and vendors.
  2. Orient new tenants and their staff on campus policies and procedures.
  3. Oversee significant projects that directly impact departmental objectives as directed by management.
  4. Assist management with daily property operations in alignment with established policies and client requirements.
  5. Act as the initial point of contact for tenant service inquiries, directing requests to the appropriate personnel or external service providers for resolution.
  6. Manage tenant and vendor documentation, including insurance certificates and contact lists, ensuring all records are current and accessible.
  7. Support billing, rent collection, and compliance with lease agreements.
  8. Coordinate campus scheduling and manage calendars related to tenant activities, ensuring effective communication flow.
  9. Perform general administrative tasks, including data entry, correspondence, supply ordering, and visitor management.
  10. Maintain confidentiality and professionalism in all interactions and documentation.
  11. Organize team communications and plan events, both on-site and off-site.
  12. Fulfill additional duties as assigned.

Qualifications:

Required Skills and Experience:

  • 3-5 years of experience in project management, logistics, leasing, or administrative roles.
  • A college degree, trade school certificate, or military leadership experience is preferred.
  • Demonstrated initiative, attention to detail, and problem-solving capabilities.
  • Excellent written and verbal communication skills, with strong interpersonal abilities.
  • Proficiency in Microsoft Office Suite and adaptability to new technology platforms.
  • Strong organizational skills with the ability to manage multiple projects in a high-volume environment.
  • Ability to work independently and collaboratively within a small team.
  • Commitment to maintaining confidentiality and handling sensitive information responsibly.
  • Availability to work flexible hours, including weekends, for tenant-related events.

Physical Requirements:

Ability to sit, stand, and walk for extended periods, with the capacity to lift up to 25 pounds.
