Job Summary
The Assistant Front Office Manager will be responsible for overseeing the daily operations of the front desk, providing support to front desk staff, and ensuring seamless guest interactions.
Key Responsibilities
- Assist the Front Office Manager in coordinating with other departments to manage guest satisfaction and ensure staffing, service, and financial standards are met.
- Prepare reports and documentation as needed to maintain accurate records and improve operational efficiency.
- Ensure that the front desk meets AAA 5-Diamond and PLATINUM SERVICE standards by working closely with colleagues to maintain high-quality service delivery.
- Participate in the Rooms Division daily Manager on Duty schedule rotation and contribute to the Lobby Greeter program.
- Attend management meetings and participate in discussions related to the front desk.
- Manage room inventory control, block reservations, and coordinate future days' inventory control to maximize occupancy, rates, and guest satisfaction.
- Handle guest compliments, complaints, and concerns effectively to ensure guest satisfaction and fiscal responsibility.
- Assist with preparing staffing schedules, training new hires, maintaining payroll reports, and tracking employee absences.
- Support interviewing candidates for front desk positions, conduct performance reviews, and manage performance as required.
- Maintain appearance standards at the front desk and adhere to company policies and regulations.
- Review VIP reports and other relevant documents to ensure consistent service standards.
- Manage the PLATINUM SERVICE program, coordinating same-day arrivals and reviewing group resumes, VIP alerts, site inspections, and arrival/departure manifests.
- Monitor guest information, review scheduled/un-scheduled departures, and stay-overs while controlling room counts and inventory levels.
- Control stock inventory levels and maintain workstation cleanliness and organization at the front desk and back office areas.
- Become fully trained in emergency procedures and assume Manager on Duty responsibilities as required.
Requirements
- 2-4 years of hotel or conference center front office management experience.
- Ability to work evenings and weekends as needed.
- Financial experience and business acumen skills.
- Proficient computer skills and knowledge of MS Office products, including Word, Excel, PowerPoint, Outlook, and internet.
- Opera software experience preferred.
- Minimum Associate's degree.
Compensation and Benefits
