Position Overview:
The role involves providing comprehensive administrative assistance to two senior executives, ensuring smooth day-to-day operations. Responsibilities include managing calendars, handling expenses, scheduling meetings, organizing travel arrangements, and more. This position also entails collaboration with the Music and Podcast teams to support critical content initiatives, gather and relay essential insights, and aid the broader marketing team in asset management, communications, and logistics.
Key Responsibilities:
- Deliver administrative support to two executive leaders, including calendar management, expense reporting, travel coordination, and team logistics.
- Gather, compile, and organize materials for internal and external approvals.
- Act as the primary contact for team operational requirements.
- Document meeting notes for significant marketing discussions.
- Oversee the coordination of marketing assets and collaborate with artist marketing to ensure effective promotion of music.
- Engage with business teams, fellow administrators, and executives.
- Manage priority calendars efficiently.
- Oversee project timelines across the team.
- Administer code creation tools for music-related programs.
- Generate tracking links for marketing campaign analytics.
Qualifications:
- At least 2 years of experience in support roles within the entertainment or marketing sectors.
- Exceptional organizational skills, keen attention to detail, and the ability to juggle multiple tasks in a dynamic environment.
- Proven track record of meeting deadlines and demonstrating initiative in decision-making.
- A proactive attitude towards all tasks, regardless of size.
- Strong written and verbal communication skills, coupled with a high level of professionalism.
- Ability to influence and manage conflicts effectively, knowing when to escalate issues.
- Experience in entertainment marketing is advantageous.
- Familiarity with onboarding and training new employees.
- Direct experience in handling sensitive and confidential information with integrity.
- Proficient in managing calendars, scheduling meetings, arranging travel, and processing expense reports.
- Ability to prioritize tasks, adapt quickly, and remain flexible.
- A genuine passion for the entertainment industry.
- Results-oriented, upbeat, and focused, with a strong desire to learn and succeed.
- A willingness to grow and contribute to the team.
- Proficiency in creating presentations using Keynote and strong presentation skills.
