Job Title: Office Administrator

The Office Administrator is the face and voice of our company, providing exceptional customer service to all individuals, both internal and external. This role is responsible for maintaining the smooth operation of the office, ensuring a welcoming environment that leaves a lasting positive impression.

Key Responsibilities:
  • Respond to all incoming communications, including phone calls and emails, in a timely manner, and provide follow-up and problem-solving support.
  • Support the sales team with events, including invoicing, collecting deposits, and answering phone calls.
  • Maintain office services by organizing office operations and procedures, controlling correspondence, designing filing systems, and reviewing and approving supply requisitions.
  • Design and implement office policies by establishing standards and procedures, measuring results against standards, and making necessary adjustments.
  • Keep management informed by reviewing and analyzing special reports, summarizing information, and identifying trends.
  • Oversee incoming mail, sorting, and routing mail appropriately, and advise staff of any deliveries that may have arrived.
  • Order office supplies and ensure sufficient volumes of office staples.

Education and Experience Requirements:
  • High school diploma or equivalent qualification; additional certifications or training in customer service is a bonus.
  • Minimum of one year's experience in an office environment.
  • Proven experience in customer service or guest relations roles.
  • Proficient in office software, such as Microsoft Office Suite, MSO 365, Google Suite, etc.
  • Familiarity with customer relationship management (CRM) systems is a plus.
  • Knowledge of the hospitality industry.
Physical Requirements:
  • Regularly required to sit, talk, use repetitive motion, type, and hear.
  • Frequently required to stand, walk, use hands and fingers to handle and feel, and reach with hands and arms.
  • Occasionally required to bend, kneel, crouch, climb stairs, and reach overhead.
