POSITION SUMMARY

Under the supervision of the Director of Intake & Admissions, the Intake Specialist is responsible for managing inquiry and intake calls, assisting with administrative tasks, and being cross-trained for various provider relations functions. This role is crucial in facilitating patient admissions, maintaining communication with healthcare providers, and ensuring accurate data entry and documentation.

KEY RESPONSIBILITIES

  1. Act as a representative of the agency to promote services and collaborate with provider relations representatives.
  2. Provide support to the Director of Intake & Admissions as needed.
  3. Serve as a liaison, offering insights from referral sources.
  4. Work closely with physicians, social workers, discharge planners, and clinical coordinators to collect necessary information for treatment plans.
  5. Handle multiple calls, including inquiries, intake, and communications with families and healthcare providers.
  6. Deliver accurate, consistent, and compassionate responses to each call.
  7. Ensure confidentiality for patients, families, and staff.
  8. Maintain organized records, including filing, faxing, and logging data for easy access.
  9. Perform data entry and retrieval in accordance with reporting standards.
  10. Ensure timely routing of paperwork.
  11. Assist with administrative tasks as directed by the Director of Intake & Admissions.
  12. Additional duties may be assigned as necessary.

SUPERVISORY ROLE

This position does not require supervision of agency staff or volunteers.

LANGUAGE PROFICIENCY

Ability to read and understand simple instructions, short correspondence, and memos. Proficient in writing basic correspondence and effectively presenting information in one-on-one and small group settings. Capable of responding to common inquiries from clients and colleagues.

MATHEMATICAL ABILITY

Competence in basic arithmetic operations, including addition, subtraction, multiplication, and division. Ability to compute rates, ratios, and percentages, as well as interpret bar graphs.

REASONING SKILLS

Ability to apply common sense to follow instructions provided in written, oral, or diagrammatic form. Capable of addressing problems involving multiple concrete variables in standardized situations.

CERTIFICATIONS AND LICENSES

Must possess a valid driver's license and automobile insurance if required to drive for job duties.

EDUCATION AND EXPERIENCE
