About the Role

We are seeking a highly skilled Archival Specialist to join our team at Guidehouse. As an Archival Specialist, you will play a critical role in overseeing the organization, processing, and digitization of scientific and biomedical research collections.

Key Responsibilities
  • Oversee the organization, processing, and digitization of scientific and biomedical research collections.
  • Apply archival management, conservation, and information management techniques to ensure the long-term preservation and accessibility of collections.
  • Develop and implement policies, procedures, and programs for archival collections, ensuring compliance with industry standards and best practices.
  • Analyze various media related to scientific research for their value and accessibility, and develop strategies for promoting access to collections.
  • Work with historians and curators to convert holdings into electronic formats, ensuring high-quality digitization and metadata creation.
  • Assess and coordinate the transfer of donated materials, ensuring seamless integration into existing collections.
  • Attend relevant meetings, workshops, and symposia to stay up-to-date on industry developments and best practices.
  • Provide reference and research assistance to clients and stakeholders, ensuring timely and accurate responses to inquiries.
  • Conduct orientation interviews for researchers, providing guidance on collection use and access.
  • Maintain statistics on processing, preservation, and use of collections, providing insights for future planning and development.
  • Prepare updates, reports, and presentations for stakeholders, highlighting key findings and recommendations.
  • Lead and manage the analysis of unprocessed materials, ensuring efficient and effective processing and digitization.
  • Develop and execute work plans for making materials accessible, ensuring timely and high-quality delivery of results.
  • Create quality records and finding aids, ensuring accurate and consistent metadata creation.
Requirements
  • Bachelor's degree in Library Science, Information Science, or a related field.
  • Minimum of two years of experience in archival science, with a focus on digital collections and metadata standards.
  • Proven experience in data processing and cataloging, with a strong background in data analysis and matrix-based reporting.
  • Experience with data engineering and emerging technologies in information management, including rare collections.
  • Proficiency in data analysis and matrix-based reporting (e.g., spreadsheets) to support the development of work plans and milestones.
  • Experience in developing and applying metadata mappings and transformations to enhance discoverability of digital collections.
Preferred Qualifications
  • Advanced degree in Library Science, Information Science, or a related field.
  • Demonstrated success in project management and cross-functional collaboration.
  • Familiarity with digital strategy and long-range planning.
  • Demonstrated project management skills, with experience in managing complex, long-term projects.
  • Previous NIH experience is highly preferred.
