Job Overview

We are seeking a highly skilled Administrative Assistant to join our dynamic team. As the first point of contact for our office, you will handle phone inquiries and face-to-face interactions with a diverse range of individuals on a daily basis.

The ideal candidate will possess strong interpersonal skills, proficiency in both Spanish and English, and the ability to effectively communicate with clients. In addition to excellent customer service skills, you will be responsible for managing a high volume of interactions, handling 50-100 different individuals daily.

Key Responsibilities
  1. Bilingual Communication:
    • Provide exceptional customer service in both Spanish and English.
    • Translate documents and communications as needed.
    • Assist in facilitating bilingual meetings and discussions.
  2. Reception:
  • Answer and direct phone calls in a professional and friendly manner.
  • Greet and assist visitors with a positive and service-oriented attitude.
Mail and Document Management:
  • Receive, sort, and scan mail and other documents.
  • Ensure accurate and timely distribution of mail to the appropriate recipients.
Basic Computer Tasks:
  • Utilize office software to perform basic tasks like data entry, document creation, and email correspondence.
General Administrative Support:
  • Provide support to other administrative staff as needed.
  • Perform other related duties as assigned.
Requirements

To be successful in this role, you will need:

  • Proficiency in both Spanish and English, spoken and written.
  • High School Diploma or equivalent; Associate's or Bachelor's degree is a plus.
  • Minimum of 1 year of experience in a customer service or administrative role.
  • Basic computer skills including familiarity with office software.
  • Strong interpersonal skills with an approachable and professional demeanor.
  • Ability to handle a fast-paced environment and manage interactions with a diverse range of individuals.
  • Ability to lift and carry objects weighing up to 20 lbs as part of daily job duties.
What We Offer
