Job Summary:

The Senior Fleet Compliance Operations Manager is responsible for overseeing transportation safety and compliance processes and practices across the organization. This role works closely with the management team to develop and implement short-term and long-term operational safety and compliance strategies.

Responsibilities:
  • Employee Management: Provide direct oversight of employees, ensuring that Driver Qualification Files (DQFs) are current and up-to-date, including both paper and digital formats. Develop and track a monthly report by terminal managers to monitor progress.
  • Driver Onboarding: Ensure that new drivers are properly onboarded, including a 30-day follow-up meeting to discuss training, safety, and compliance with Samsara. Proactively address any deficiencies and document as necessary.
  • Training Completion: Verify that drivers complete assigned training in Dairy U and use the Samsara system correctly for Electronic Logging Device (ELD) purposes, even when utilizing the Agricultural exemption.
  • Terminal Support: Serve as the primary point of contact for Terminal Managers regarding questions about prospective employees, current driver safety concerns, accident reporting, and process-related inquiries.
  • Accident Reporting: Follow up on driver personal injury accidents, documenting detailed information on the cause of injury, outcome of the review process, and specific actions to prevent future occurrences.

Equipment Management:

  • Registration and Maintenance: Ensure equipment registrations are completed and up-to-date, installed in correct trucks, and annual inspections are conducted and tracked.
  • Permits and Passes: Complete state permits and place them on equipment properly, install and monitor EZ passes, and verify Samara units are functioning correctly.
  • Camera Monitoring: Regularly inspect cameras to ensure they are working and not obstructed.
  • LatLon System: Confirm the LatLon system is installed and operating correctly.

Safety and Compliance:

  • Safety Inbox: Monitor the Samsara Safety Inbox daily and promptly address severe issues, documenting all interactions.
  • Quarterly Performance Tracker: Consistently update the Quarterly Performance Tracker throughout each quarter, rather than at the end of the month.
  • Safety Days: Plan and execute in-person Safety Days three times annually, focusing on educating drivers on safe practices and procedures.
  • DOT Reportable Accidents: Address all DOT reportable accidents on scene, gathering proper information, including pictures, and coaching drivers on the proper procedure if an accident is not reportable.

Documentation and Reporting:

  • Accident Folders: Create an accident folder for each event, containing essential documentation, such as police reports, photos, DFA accident reports, post-accident drug test results, repair bills, Sedgwick reports, and any legal correspondence.
  • Monthly Scorecards: Provide drivers with monthly scorecards highlighting key performance indicators (KPIs) to manage and assess transportation safety operations.

Requirements:

  • A bachelor's degree in Transportation Management or a related field is preferred, but not required.
  • Prior experience in fleet operations, safety, or compliance is essential.

Estimated Salary:

$85,000 - $115,000 per year, depending on location and experience.
