Position Summary:

Howell Instruments Inc is looking for a dedicated Ground Support Equipment (GSE) Project Coordinator to become a vital part of our team. The GSE Project Coordinator will support the supervisor in organizing and managing various projects within the GSE Department. This role is essential in ensuring that our company consistently delivers high-quality results on schedule and within budget by effectively preparing, coordinating, and overseeing all GSE project timelines and resources.

Key Responsibilities:

  • Assist the GSE supervisor in ensuring that the administrative processes of projects are executed efficiently and completed promptly.
  • Track, monitor, and report on all GSE projects to maintain clear visibility of progress.
  • Ensure that daily, weekly, and monthly reports, along with other general communications, are conveyed accurately and in a manner suitable for the intended audience.
  • Efficiently allocate time and resources while keeping track of essential information, schedules, and deadlines.
  • Process RMA requests from clients and assign appropriate work or sales orders using Quantum.
  • Create and verify work orders, ensuring accuracy in quantities and lead times, and maintain organized work and sales folders.
  • Confirm purchase orders in accordance with email quotations before acceptance.
  • Manage customer invoicing through Quantum and Exostar systems.
  • Keep the GSE work order tracker updated and actively participate in customer conference calls.
  • Maintain and archive all GSE work order and sales order documentation as necessary.
  • Coordinate the shipping of completed projects and GSE sales orders through the Quantum shipping module.
  • Perform additional tasks as assigned by management.

Qualifications:

  • High School diploma preferred; or a combination of education, training, and experience that provides the required knowledge.
  • A minimum of 3 years of relevant experience in project coordination.
  • Proficient in Microsoft Excel, Word, Outlook, and PowerPoint.
  • Experience with Quantum software is preferred.
  • Exceptional written, verbal, and interpersonal communication skills.
  • Ability to work independently while demonstrating strong project coordination capabilities.
