Key Responsibilities:
  • Deliver comprehensive administrative assistance to the executive team, including calendar management, appointment scheduling, personal task coordination, and travel arrangements.
  • Organize meetings, conferences, and special events, ensuring all materials are prepared and agendas are set.
  • Manage correspondence, phone calls, and emails on behalf of executives, prioritizing inquiries and responding promptly and professionally.
  • Draft and refine documents, presentations, memos, and reports for both internal and external audiences.
  • Oversee expense reporting and reimbursement processes, collaborating with the accounting department for invoice management.
  • Conduct research and compile information as requested by executives to aid in decision-making and project execution.
  • Maintain confidentiality and handle sensitive information with the utmost discretion and professionalism.
  • Anticipate the needs of executives, proactively addressing potential issues before they arise.
  • Assist in coordinating monthly team gatherings and annual company events, ensuring smooth logistics for in-office meetings with external partners.
  • Support special projects and undertake additional tasks as assigned by executives.
  • Occasionally travel locally to fulfill errands and tasks as needed.
Qualifications:
  • High school diploma or equivalent required.
  • A minimum of 2 years' experience as an executive assistant or in a similar role, ideally supporting C-level executives.
  • Bachelor's degree in business administration, communications, or a related field preferred.
  • Advanced proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software.
  • Exceptional organizational and time management skills, with the ability to prioritize effectively and meet deadlines.
  • Strong interpersonal skills, enabling effective interaction with individuals at all organizational levels.
  • Ability to exercise independent judgment, initiative, resourcefulness, and discretion in decision-making.
  • Proficient in identifying, analyzing, and resolving issues, with a focus on continuous improvement in workflow and efficiency.
  • Outstanding written and verbal communication skills, with a keen attention to detail.
  • Ability to maintain professionalism in high-pressure situations, with discretion in handling sensitive information.
  • Demonstrated ability to anticipate the needs of executives and respond to correspondence or follow-up tasks in a timely manner.
  • Strong analytical and research skills, with a meticulous attention to detail.
  • Ability to work independently while producing high-quality work.
  • Valid driver's license required.
  • This position requires on-site work.
