Position Summary:
The Scheduling & Training Coordinator will play a crucial role in organizing in-office training sessions for Fotona's clientele in collaboration with our Clinical trainers. This position also involves providing comprehensive support to both Fotona Teams and Customers during offsite training events. Key responsibilities include managing various administrative and logistical tasks related to training coordination, ensuring effective communication with internal teams and clients, preparing necessary materials for shipment, arranging accommodations, and maintaining accurate attendance records and certifications.
Key Responsibilities:
- Efficiently coordinate training schedules with customers and clinical trainers, utilizing strong logistical skills.
- Communicate professionally and effectively, both verbally and in writing, with team members, customers, and external partners.
- Manage the preparation, packing, shipping, and tracking of training materials and equipment for workshops and events.
- Maintain organized records of Continuing Education registrations, certificates, and attendance.
- Oversee inventory management of marketing materials, including brochures and promotional items.
- Submit expense reports and receipts for reimbursement in a timely manner.
- Exhibit a strong work ethic and uphold Fotona's standards of integrity and professionalism.
Required Skills:
- Exceptional organizational abilities, capable of managing timelines and adjusting priorities in a dynamic environment.
- Strong attention to detail, ensuring accuracy in multiple concurrent tasks.
- Proven reliability and sound judgment in a professional setting.
- Team-oriented mindset with a sense of ownership over assigned tasks.
- Ability to collaborate with diverse internal and external stakeholders across various locations.
- Proficiency in technology, with experience in troubleshooting computer and webinar applications being advantageous.
- Familiarity with Office Suite applications (Advanced Outlook, Basic Excel, Word) and knowledge of Google Docs, Smartsheets, or Salesforce is a plus.
- Fluency in English with excellent written and verbal communication skills is essential.
Additional Requirements:
- Availability to work occasional weekends and flexibility for potential travel within the United States.
- Capability to work remotely and from the office as needed.
- Willingness to be reachable outside of standard business hours when necessary.
- Physical ability to lift and carry up to 50 pounds regularly, with occasional heavier lifting required.
- Comfortable with various physical activities throughout the workday, including standing, bending, and reaching.
Education & Experience:
- A Bachelor's or Associate's degree is preferred.
- 1-2 years of relevant work experience is preferred but not mandatory.
