Job Summary

The Nursing Clinical Services Coordinator plays a vital role in the coordination of clinical, academic, and administrative activities that support faculty and students. This position is responsible for maintaining program operations, ensuring seamless communication with clinical education site coordinators, clinical faculty, and preceptors, and maintaining relationships with clinical placement coordinators in healthcare facilities.

Key Responsibilities
  • Coordinate operational logistics for clinical activities, including scheduling and maintaining relationships with clinical education site coordinators, clinical faculty, and preceptors.
  • Communicate and build relationships with clinical education site coordinators, clinical faculty, and preceptors to ensure effective collaboration and coordination.
  • Maintain schedules for clinical rotations and relationships with clinical placement coordinators in healthcare facilities.
  • Assist with creation and maintenance of BRN forms related to clinical placement and clinical faculty.
  • Arrange for orientation schedules for clinical faculty, adjunct faculty, and preceptors.
  • Coordinate catering and room bookings for clinical events, meetings, and SIM days onsite.
  • Coordinate other clinical education activities, such as mask fittings and BLS trainings, as assigned.
  • Input and maintain clinical education records in Exxaat or other software and other clinical education activities, as assigned.
  • Maintain clinical incident forms and communicate the need for onsite clinical activities or experiences to lab specialists.
  • Order program supplies for clinical faculty or clinical orientation, maintain clinical digital software/database subscriptions, and coordinate technical, facility, and delivery activities.
  • Reconcile and process Pro-Card activity and statements, and coordinate requests for payment to vendors/accounts (Universal, Exxat, etc.).
  • Support and maintain program, faculty, staff, and student clinical records, collect and aggregate data for program and student assessment as assigned.
  • Act as a liaison to Recruitment, Admissions, Registrar Office, Financial Aid Office, Human Resources, and the School of Health Sciences to maintain student requirements (BLS, immunizations, and background checks) are up to date.
  • Maintain email communication and address inquiries from prospective and current students regarding immunizations, background checks, and clinical requirements.
  • Maintain student clinical databases and internal director.
  • Assist with planning and coordination of events for the program and students.
  • Oversee the clinical calendars, schedules, and organize meetings for clinical purposes, including meeting agendas, minutes, and maintenance of records.
  • Attend all partners meetings and clinical meetings with clinical leaders.
  • Participate in the planning and organization of program, faculty, staff, or student events.
  • Support the overall mission of the Program by acting as a conduit between students, various campus entities, program faculty and staff, and other stakeholders.
  • Support students, answer student questions, and route inquiries as appropriate.
  • Serve as a liaison between the program and other campus departments.
  • Perform other duties as assigned.
Requirements
  • Two (2) years of post-high school education (two (2) years of full-time experience in the same/similar position is equal to one (1) year of completed post-high-school education coursework).
  • Two (2) years of responsible professional administrative work experience in a similar or related position.
  • Proficiency in Microsoft Office.
Preferred Qualifications
  • Work experience in an academic/university setting.
  • Proficiency in the use of computer applications, including Adobe Acrobat Pro, SharePoint, Banner, Exact, CAS, and HR systems.
  • Excellent verbal and written communications skills; ability to establish and maintain effective working relationships with staff, departments, and others.
  • Excellent phone and customer service skills, office organization, event/meeting scheduling, and records management skills.
  • Experience and sensitivity in working with people of diverse backgrounds and cultures.
  • Demonstrated experience in advancing social justice, equity, and inclusion in a university setting.
  • Ability to engage and integrate culturally responsive practices and knowledge in their work.
