Office Coordinator

Road Safety Services, Inc. is seeking an experienced Office Coordinator to provide administrative support to senior management and department staff. The ideal candidate will have a strong background in clerical procedures and systems, with excellent organizational and communication skills.
Responsibilities:
- Answer incoming phone calls and direct to the correct personnel.
- Organize and distribute incoming mail.
- Maintain and archive documents.
- Assist the Finance department with data entry and reporting.
- Assist the HR department with data entry and reporting.
- Assist the Payroll department with entering and submitting Certified Payrolls.
- Direct office activities and functions to maintain efficiency and compliance with company policies.
- Prepare agendas, make travel arrangements, maintain calendars, organize meetings, and manage email for senior management.
- Direct and coordinate all company events.
- Purchase and maintain office supplies and kitchen inventory.
- Maintain records, documentation, and files, particularly complex or sensitive in nature.
Qualifications:
- High school diploma or equivalent required; Associate degree in a related field preferred.
- At least three years of administrative and clerical experience required.
- Proficient in Microsoft Office Suite (emphasis on Excel, PowerPoint, and Word) and ERP-related software.
- Excellent verbal and written communication skills.
- Excellent interpersonal and customer service skills.
- Excellent organizational skills and attention to detail.
- Basic understanding of clerical procedures and systems.
- Ability to work independently and with limited direction.
- Excellent time management skills with a proven ability to prioritize tasks and meet deadlines.
- Ability to function well in a high-paced and at times stressful environment.
- Experience working in an office setting desired.
