The Therapy Services Coordinator plays a pivotal role in supporting the Center Therapy Director and Staff Therapists, enabling them to concentrate on delivering exceptional patient care. This position is responsible for managing therapy referrals, scheduling patients, assisting with registration and check-out processes, ordering supplies, ensuring the therapy department remains clean, and may also involve some medical back-office tasks as assigned. This role guarantees that every patient receives high-quality clinical care and enjoys a welcoming and respectful experience.

Key Responsibilities

  • Secure timely authorizations from clients and/or insurance providers for prescribed therapy treatments.
  • Utilize the electronic referral system to maintain records for all active referrals, including tracking referral status and correspondence.
  • Process referrals using company resources to ensure compliance with state regulations and client-specific instructions.
  • Collaborate with medical and therapy leadership to adhere to our medical model regarding therapy referrals.
  • Report any denials or delays to leadership as necessary.
  • Ensure all authorized visits are scheduled according to clinician referrals without exceeding authorized visit limits or date ranges.
  • Contact patients who miss appointments and report missed appointments to employers.
  • Document any cancellations or rescheduled appointments in the patient's electronic medical record and work with the Center Operations Director to assess cases for potential closure.
  • Perform clerical tasks in both front and back office settings related to patient care and accurate record-keeping.
  • Cross-train to handle front office duties, including greeting patients, obtaining authorizations, check-in/out, communicating wait times, and managing a multi-line phone system.
  • Manage daily therapy supply inventory, maintain cleanliness of treatment tables and equipment, and document equipment logs.
  • Maintain therapy equipment and complete maintenance logs as required.
  • Assist with patient flow and volume in collaboration with center leadership.
  • Keep patients informed of expected wait times throughout their visit.
  • Help maintain a tidy and organized facility.
  • Facilitate maintenance and necessary service on all therapy equipment.
  • Adhere to HIPAA guidelines and safety protocols.
  • Complete reports and logs as assigned by center leadership.
  • Participate in center staff meetings and training sessions as required.
  • May also perform various back-office tasks, including drug screenings and alcohol tests.

Qualifications

Education: High School Diploma or GED

Experience:

  • Typically requires at least six months of experience in referral management.
  • Previous experience in a medical office is preferred.
  • Familiarity with state-specific occupational medicine requirements is a plus.
