Student Information and Attendance Coordinator

The role of the Student Information and Attendance Coordinator is integral to the operational success of our educational institution. This position is dedicated to ensuring that our schools operate smoothly by establishing and maintaining effective systems that promote a safe, engaging, and equitable learning environment. The Coordinator will play a crucial role in supporting our mission by providing exceptional service to families and staff, ensuring that everyone feels valued and included in our community.
Key Responsibilities
1. **Attendance Management**: Oversee the attendance tracking process and ensure accurate maintenance of attendance records.
2. **Collaboration**: Work closely with students, staff, and families to promote consistent school attendance.
3. **Training and Support**: Educate teachers on attendance protocols and accurately input data into the Student Information System (SIS).
4. **Data Integrity**: Document all attendance modifications, rectify attendance discrepancies, and conduct necessary audits.
5. **Communication**: Relay attendance reports to staff and identify students who may be at risk of attendance issues.
6. **Meetings Participation**: Engage in weekly attendance review meetings, gradually taking on more responsibilities.
7. **Data Compliance**: Ensure that student data is maintained accurately and in accordance with federal, state, and institutional regulations.
8. **Auditing**: Review and correct student data issues within the SIS and complete necessary reporting for the Public Education Information Management System (PEIMS).
9. **Reporting**: Generate and assess reports, verifying information with relevant stakeholders.
10. **Record Management**: Handle requests for student records through the appropriate channels.
11. **Schedule Management**: Enter and update master and student schedules in the SIS.
12. **Eligibility Review**: Assess and document eligibility for various programs accurately.
13. **Grade Verification**: Run grade verification reports for each grading cycle and prepare progress reports and report cards.
14. **Enrollment Processing**: Manage documentation for student enrollment and maintain all relevant records.
15. **Data Verification**: Ensure that all students are fully enrolled and make necessary corrections in registration documents and the SIS.
16. **Document Collection**: Gather required documents for student enrollment.
17. **Folder Management**: Organize, manage, and audit student folders.
18. **Transfer Coordination**: Process transfer requests from families and coordinate with other educational institutions.
19. **External Requests**: Manage requests for student documents from external parties.
20. **Withdrawal Tracking**: Monitor withdrawal information and ensure that exit meetings are conducted.
21. **Transcript Preparation**: Prepare transcripts and provide proof of enrollment as needed.
