Job Summary

This intermediate position provides administrative, clerical, and technical support to the HR Support function. The successful candidate will partner with Operations, Human Resources, and Payroll to ensure coordination of projects and activities in a timely manner.

Essential Functions and Major Responsibilities
  1. Maintain the Kronos Human Resources/Payroll system to document employee status and work assignments. Compile and format data from Kronos and various data sources, and prepare reports.
  2. Gain and apply a thorough understanding of all collective bargaining agreements and company policies to respond to employee questions and ensure application of provisions and benefits.
  3. Train, mentor, and assist in providing direction to HR Support staff. Monitor metrics, provide coaching, and generate multi-location collaboration.
  4. Perform special projects, often urgent in nature, to include analyzing data, audits, reports, and testing. Ability to further troubleshoot and identify oddities requiring additional review and research.
  5. Ensure work instructions are up-to-date for HR Support functions.
  6. Process staffing requests, including preparing paperwork and dispatch requests to appropriate unions, initiating phone calls to unions and recalled employees, and documenting through a spreadsheet or other documentation efforts to secure staffing.
  7. Interact with Human Resources to arrange various selection processes, such as scheduling interviews, contacting applicants, and tracking results.
  8. Assist employees with timecard and timekeeping instructions, weekly time entry processing, and answer questions about job assignment locations.
  9. Perform related administrative functions, such as answering telephones, emails, processing unemployment claims, filing, copying, and delivering documents. Assist other support staff when appropriate and perform related duties as assigned.
  10. Maintain a strict level of confidentiality for all employee information.
Job Scope

The position works under set guidelines, but must use sound judgment and make decisions in determining the appropriate actions based on the specific situation. The individual performs under minimal supervision, performing complex technical work while leading the team.

Supervisory Responsibility

The person is responsible for leading the HR Support teams at multiple sites with moderate level of direction required.

Interpersonal Contacts

Interactions are internal with staff, managers, supervisors, and hourly craft employees on a daily basis, as well as externally with applicants, union hiring referral representatives, and other referral sources.

Knowledge, Skills, and Abilities
  • Knowledge of and skill to use PC applications such as word processing, spreadsheets, and databases; data analysis and report writing.
  • Ability to work, communicate, and lead others effectively.
  • Knowledge of human resources principles and employee record keeping.
  • Ability to understand the staffing needs of a shipyard, including applicable terminology.
  • Self-starter with the ability to define problems, troubleshoot, collect data, establish facts, and draw valid conclusions.
  • Ability and skill to work independently with minimal supervision.
  • Ability to exercise good judgment and make accurate and timely decisions.

Education and/or Experience

High School Diploma or GED Certificate is required. Minimum of three years of experience in a Customer Service or Human Resources role with demonstrated knowledge of office procedures and practices. Knowledge of Kronos Workforce Timekeeper, Human Resource, and Payroll modules is preferred. Past lead experience preferred.

Physical Demands

Work is conducted in a dynamic, fast-paced office setting with moderate to loud noise levels from production activity in the shipyard. The work may occasionally require the individual to walk within the shipyard when performing certain administrative errands. The work requires the ability to operate a variety of office equipment and computer systems; visual acuity required to read, verify, and enter various data from documents related to the work.
