Position Overview: Customer Service Representatives (CSR) play a vital role in managing requests for quotes, orders, and lead times from clients. CSRs prepare quotations for both standard and custom items, process orders, and communicate essential information to customers and suppliers. They collaborate with various departments to handle purchase orders and provide exceptional service and support to customers and the Sales Team.

Key Responsibilities:

  • Receive requests for price quotations, purchase orders, order modifications, adjustments, and cancellations from domestic clients, original equipment manufacturers, and distributors via telephone, email, fax, or in-person.
  • Build and maintain strong relationships with customers to ensure optimal service delivery.
  • Support the Outside Sales Team in their efforts.
  • Utilize our business ERP systems to access customer data, stock status, and purchase order information, ensuring accurate input and retrieval of information.
  • Track and follow up on inquiries, quotations, and orders through our ERP systems, coordinating closely with suppliers and warehouse personnel regarding scheduled shipments.
  • Ensure all necessary documentation is collected and forwarded to customers.
  • Engage with suppliers on technical, pricing, and delivery matters.
  • Respond to inquiries promptly, demonstrating effective communication skills.
  • Assist accounts receivable with payment and credit hold issues.
  • Help manage supplier relationships effectively.
  • Deliver the highest level of customer service ethically and promptly.
  • Generate and maintain accurate documentation, including quotations.
  • Address and resolve customer requests and complaints with a positive and creative approach.
  • Collaborate with relevant departments to ensure customer satisfaction.
  • Contribute ideas to enhance customer service, systems, and procedures.
  • Maintain a safe, clean, and organized workspace.
  • Adhere to strict safety guidelines.

Basic Qualifications:

  • High school diploma or equivalent.
  • Excellent written and verbal communication skills, along with strong relationship-building abilities.
  • Detail-oriented with solid organizational skills and the capacity to prioritize and multitask in a fast-paced environment.
  • Proficient in computer skills, including MS Office (Word, Excel, Outlook), with a willingness to learn new software. Experience with Epicor Prophet 21 is a plus.
  • A good listener with strong reasoning abilities and a commitment to accuracy.
  • A quick learner who can assimilate product knowledge and skills effectively.
  • Experience in distribution and familiarity with our product lines is advantageous.
  • Able to work well with diverse personalities.
  • Consistent and punctual attendance is required.
  • Previous experience should include knowledge of parts and nomenclature, as well as a demonstrated ability to collaborate effectively with customers and suppliers.
