Key Responsibilities:

  • Compose formal correspondence and various documents
  • Organize and coordinate appointments and events
  • Welcome and assist visitors
  • Handle incoming phone calls and manage mail
  • Create and maintain an efficient filing system
  • Perform general office tasks, including answering the main office phone, managing correspondence, scheduling meetings, and overseeing office supplies and travel arrangements.
  • Support office operations and collaborate with building management to ensure a professional and efficient office environment
  • Process accounts payable activities, including invoice verification, coding, and posting, ensuring adherence to company policies
  • Communicate with employees and benefits providers
  • Prepare and execute payments, including checks, ACH transfers, and wire transfers
  • Maintain comprehensive records and documentation, both financial and general
  • Assist the technical team or management with various projects or tasks as needed
  • Ensure the confidentiality and security of financial and office-related information

Qualifications:

  • High school diploma or equivalent; an associate degree or higher in business administration, accounting, or a related discipline is preferred
  • Prior experience in office administration or related fields
  • A minimum of 7 years in an administrative capacity, with specific expertise in accounts payable
  • Ability to prioritize tasks and manage multiple responsibilities
  • Excellent written and verbal communication skills
  • Strong attention to detail and accuracy
  • Outstanding organizational capabilities
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and familiarity with accounting software (e.g., QuickBooks, SAP); Ability to coordinate remote meetings (GoTo, Zoom, Teams)
  • Thorough understanding of accounting principles and accounts payable processes
  • Effective communication and interpersonal skills, a positive attitude, and a willingness to assist with logistics as needed
  • Ability to work independently, proactively, and collaboratively
  • Notary Public certification is a plus
