We are currently in search of a meticulous and organized Warranty and Business Operations Coordinator to enhance our team. The ideal candidate will possess strong computer skills, billing experience, exceptional writing abilities, and a talent for effective multitasking. This position plays a vital role in facilitating the seamless execution of our service and warranty operations.

Key Responsibilities:
  • Daily Reporting:
    - Distribute WIP, Inventory Activity, and Waiting 3-Way Match reports to the Accounting Manager.
  • Database Management:
    - Update maintenance schedules with upcoming aircraft work.
    - Revise aircraft and customer details in relevant systems.
    - Maintain warranty information accurately.
  • Quote Preparation:
    - Ensure all labor, parts, and services are correctly priced in estimates.
    - Send completed estimates to clients and secure approvals.
    - Track and manage deposits as necessary.
    - Forward approvals and denials to the relevant parties.
  • Work Order Closure and Billing:
    - Close work orders promptly and proofread for accuracy.
    - Account for all parts and additional charges.
    - Update necessary spreadsheets and systems.
    - Send finalized work orders to clients and process payments.
  • Warranty Management:
    - Verify warranty status of aircraft before closing claims.
    - Ensure vendor billing aligns with allowed amounts for each warranty claim.
    - Compile all warranty-related documents into the work order folder.
    - Collaborate with the Warranty Specialist for warranty inquiries.
  • Receivables Tracking:
    - Monitor receivables and contact clients regarding overdue payments.
  • Month-End Responsibilities:
    - Finalize all work orders for the month.
    - Review closing documents for precision.
    - Collaborate with management to assess budgets and final figures.
  • Timecard Oversight:
    - Integrate new maintenance department employees into the system.
    - Update holiday schedules accordingly.
    - Review and submit technicians' timecards weekly.
  • Administrative Support:
    - Assist clients with special requests and inquiries.
    - Process payments and deposits in the absence of the CSR.
    - Organize training sessions for maintenance technicians and manage travel arrangements.
    - Serve as backup for the Business/Warranty Administrator and Warranty Specialist as needed.
    - Regularly check and replenish office supplies.
  • Event Coordination:
    - Organize departmental events, including cookouts and celebrations.
  • Additional Duties:
    - Perform other tasks as assigned.
