Summary:

The Dispatcher for the Hill Mechanical Services ("HMS") division of The Hill Group is tasked with supporting our field operations team. This role also encompasses providing essential administrative assistance to sales representatives, technicians, superintendents, and operations managers.

Key Responsibilities:

  • Oversee, track, and report on daily activities of our 60 service technicians, including but not limited to:
    • Scheduling, coordinating, and dispatching technicians to their assignments
    • Prioritizing service requests, assessing customer needs, and aligning them with the appropriate technician
    • Ensuring that labor, materials, and equipment are effectively organized and coordinated
    • Maximizing field productivity through strategic work planning to reduce technician downtime and travel time
  • Maintain and update work order statuses:
    • Process a significant number of work orders weekly
    • Monitor technician progress and field operations, adjusting dispatch plans as necessary
    • Review, amend, and follow up on work orders
  • Input purchase orders into the system
  • Plan and schedule preventive maintenance work orders based on urgency
  • Prepare for and engage in weekly reviews of work order backlogs and planning
  • Execute all other assigned tasks

Experience and Qualifications:

  • High school diploma or equivalent (GED) is required
  • Preferred experience in HVAC, plumbing, or construction administration
  • Strong customer service and communication skills are essential
  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); familiarity with S2000 is advantageous
  • Experience with Cisco IP Phone System is a plus
