GENERAL RESPONSIBILITIES:

The Student Financial Services Advisor plays a crucial role in guiding both current and prospective students regarding their financial requirements. This position assists students in completing necessary applications, identifying various financial aid sources, and participating in the scholarship committee as needed. Additionally, the advisor is responsible for monitoring financial aid accounts and ensuring the timely and efficient distribution of funds.

This role includes collecting and posting payments to student accounts promptly, managing credit card transactions, assisting with daily bank deposits, and fulfilling reporting obligations as required by the Financial Aid and/or Business Office.

Moreover, the advisor aids in the registration and graduation processes as necessary.


SPECIFIC TASKS AND DUTIES:
1. Provide timely advice to students regarding financial aid options, including loan programs, repayment strategies, deferments, and debt information.
2. Assist students with applications and online financial aid services efficiently.
3. Validate financial aid information provided by students using approved methods.
4. Help students identify potential financial aid sources, including grants, loans, and scholarships.
5. Collaborate with the Assistant Campus Dean to develop scholarship funding sources by providing timely assistance.
6. Participate in the campus scholarship committee, selecting recipients and awarding scholarships based on available funds and criteria.
7. Establish and maintain comprehensive financial aid files promptly to avoid delays in student awards.
8. Advise students on loan repayment by maintaining communication with the collections office.
9. Support registration efforts by providing financial aid counseling during registration periods.
10. Prepare annual objectives and provide this information as requested.
11. Assist in updating the job description for this position as needed.
12. Work flexible hours, including late afternoons and early evenings, to meet student and faculty needs, with occasional Saturday work.
13. Manage data input and maintenance of student accounts by processing payments accurately and providing timely information regarding inquiries.
14. Prepare daily correspondence and mail as required.
15. Process registration forms and related documentation efficiently.
16. Manage credit card and financial batches in a timely manner.
17. Collaborate closely with Academic Advisors, Financial Aid Office, and Business Office personnel regarding student account statuses.
18. Monitor and respond to email inquiries for the main campus, ensuring daily checks and responses.
19. Assist with graduation planning and execution, including the graduation banquet and ceremonies.
20. Note that the above tasks are not exhaustive, and other related duties may be assigned by the Assistant Executive Director/Campus Dean.

MINIMUM QUALIFICATIONS:

Education, Certification and License:
Bachelor's Degree is required; Master's Degree is preferred.

Experience and Knowledge:
One (1) year of office-related experience is required; Financial Aid experience is preferred. Knowledge of financial aid policies and procedures is advantageous, along with an understanding of academic requirements for degree completion at a four-year institution. General accounting knowledge and experience with collection procedures are highly desirable. A commitment to the mission of integrating faith and knowledge at Wayland Baptist University is essential.

Skills and Abilities:
Excellent verbal and written communication skills are required. The ability to accurately analyze mathematical calculations is necessary. Proficiency in word processing and experience with Microsoft Word, Excel, and PowerPoint are essential. Strong administrative skills, attention to detail, and the ability to manage multiple tasks are crucial. Candidates should be able to prioritize effectively, follow directions, and work collaboratively. Time management skills and the ability to apply Biblical principles in counseling situations are also important. A commitment to team and servant leadership concepts is vital for advancing the mission of the Lubbock Campus.

CONDITIONS OF EMPLOYMENT:
Employment is subject to an introductory period to monitor performance. If hired, the prospective employee must present documentation to establish identity and employment eligibility as required. The employee must be able and willing to travel and possess a valid state driver's license or reliable transportation. A satisfactory driver's record is required.
