Job Title: Executive Assistant

At In Flight, Inc., we empower individuals with intellectual and developmental disabilities to reach their full potential and live a meaningful quality of life.

We are seeking an experienced Executive Assistant to provide high-level administrative support to our Executive Director. The successful candidate will be responsible for managing the Executive Director's calendar, coordinating meetings and appointments, and providing strategic communications and organizational support.

Key Responsibilities:
  • Provide comprehensive support services to the Executive Director, ensuring outstanding communication and responsiveness.
  • Coordinate the Executive Director's calendar, including scheduling appointments, meeting rooms, and logistics.
  • Support the Executive Director in strategic communications, organizational strategy, and special projects.
  • Assist in preparing agendas for meetings and taking minutes as required.
  • Support the Executive Director with internal and external communications, including preparing and editing correspondence, presentations, and reports.
  • Serve as a liaison to the Board of Directors, including taking minutes for meetings.
  • Maintain quality filing and communications systems, including contact management, document management, and archiving.
  • Chair the Policy committee, ensuring company policies and procedures are organized, formatted, and current.
Requirements:
  • 2 years of related work experience.
  • Familiarity with the non-profit sector.
  • Good judgment and ability to function independently.
  • Strong working knowledge of Microsoft Office applications.
  • Ability to handle sensitive and confidential situations with diplomacy.
  • Excellent communication and interpersonal skills.
  • Demonstrated writing and analytical skills.
  • Excellent organizational skills, commitment to accuracy, and attention to detail.
