Shelter Support Specialist

The role of Shelter Support Specialist at Homeless Solutions, Inc. involves delivering client services that contribute to the smooth and secure operation of our shelter facilities, including managing front desk responsibilities. This position is on-site, hourly, and non-exempt, reporting directly to the Residential Support Division Manager.
This position entails providing administrative assistance to management by handling incoming calls and directing visitors appropriately, as well as referring callers to necessary resources and managing messages.
Key Responsibilities include collaborating with Case Management Staff to identify the unique needs and services required for shelter clients to promote their success in our programs. Specific duties encompass:
- Managing routine paperwork.
- Maintaining daily census and attendance records.
- Keeping a Medication Delivery Log.
- Creating transportation lists.
- Welcoming and admitting guests, volunteers, and visitors in accordance with HSI protocols.
- Conducting wellness checks for staff, guests, and visitors.
- Preparing communication logs and daily flow reports.
- Coordinating with RSS and Facilities Management to ensure timely completion of maintenance requests.
- Executing client-related tasks, which include:
- Enforcing hygiene standards.
- Conducting drug and alcohol screenings.
- Performing searches for prohibited items.
- Administering and documenting medication distribution.
- Conducting regular security checks.
- Monitoring designated smoking areas.
- Inspecting rooms and common areas nightly for cleanliness.
- Assigning chores and overseeing their completion.
- Providing transportation for guests.
- Implementing basic cleaning protocols to maintain a healthy environment.
- Additional responsibilities include:
- Assisting volunteers and the Volunteer Manager during meal times or preparing meals as needed.
- Cross-training with Transitional Housing Residential Support Staff to provide coverage when necessary.
- Offering clerical support for programs in aid of case management staff as requested.
- Contacting emergency services when required.
- Referring all media inquiries to the HSI CEO.
- Participating in staff meetings and in-service training.
- Demonstrating strong personal accountability and adherence to company standards, policies, and procedures in all aspects of employment with HSI.
- Effectively communicating issues, concerns, or recommendations regarding clients or operational matters to the RSS Division Manager or Case Management Staff.
- Responding professionally to the need for flexibility in light of organizational changes.
Qualifications
- High School Diploma.
- Knowledge, skills, and abilities:
- Strong oral and written communication skills, along with basic computer proficiency.
- Consistent attendance and reliable transportation are essential during scheduled hours for this role.
- Physical capability to lift and carry supplies weighing up to 30 pounds.
- Ability to navigate within the residential facility, including stairs and ramps.
- Capacity to perform the responsibilities of this role on-site at all HSI facilities.
- Clear vision at both close and long range.
- Experience in Mental Health Care and/or Administrative roles is advantageous.
- Prior experience in a shared living environment is a plus.
- Flexibility in scheduling is preferred.
Note: Certain tasks and assignments may be specific to shifts.
Full-time permanent staff at Homeless Solutions are eligible for comprehensive medical, dental, and life insurance coverage plans as per HSI policies.
