Job Summary

We are seeking a highly skilled Medical Records Administration Clerk II to join our team at Kaiser Permanente in Wailuku, Hawaii. As a key member of our Health Information Management department, you will play a critical role in ensuring the accuracy and integrity of patient medical records.

Key Responsibilities
  • Process and index medical, business, and organizational documents in a timely and accurate manner.
  • Prepare and scan documents, evaluating information for discrepancies and reporting as necessary.
  • Open and sort incoming departmental mail, preparing documents for scanning and indexing.
  • Retrieve information from various computer systems to complete indexing tasks.
  • Accurately index standard and non-standard documents.
  • Perform a variety of clerical duties, including pulling and distributing patient charts, collecting and returning documents, and maintaining security and confidentiality of sensitive patient information.
  • Access and retrieve scanned images/documents from retention boxes, paper charts, digital archive, or other database during electronic medical record downtime.
  • Prepare documents for digital archiving and perform standard digital archiving into an electronic digital archiving system.
  • Verify member/patient demographic information, correcting discrepancies according to procedures.
  • Batch, count, and scan incoming documents, performing visual quality review of scanned images to ensure integrity of information.
  • Review all incoming medical, business, and organizational documents, identifying documents for scanning or filing and distributing them appropriately.
  • Evaluate information stored in an electronic scanning system for accuracy and adherence to departmental guidelines, reporting discrepancies as necessary.
  • Prepare historical charts for digital archive, uploading to digital archive and notifying clinicians of availability.
  • Enter various clinical data information from medical documentation, analyzing inpatient and designated hospital-based outpatient records for documentation deficiencies.
  • Perform medical record reviews, summarizing and reporting results to hospital administration, medical staff, and Health Information Management Committee.
  • Maintain departmental databases, including indexed batches, back-up indexed documents DVDs, and indexed documents errors database.
Requirements
  • One year clerical or medical records experience in legal, insurance, business office, or related area.
  • High school diploma.
  • Type 40 wpm.
  • Demonstrated clinical knowledge in clinic, hospital, laboratory, medical billing/coding, or other healthcare related area.
  • Knowledge of principles of confidentiality.
  • Demonstrated knowledge of and skill in the following: customer service, oral communication, systems thinking, teamwork, written communication.
  • Demonstrated knowledge of and skill in the following PC applications: word processing, spreadsheet, database.
  • Demonstrated knowledge of physiology, anatomy, and coding.
Preferred Qualifications
  • Business systems experience using Windows-based applications.
  • Associates degree in clinical related field.
