Job Summary:
As a Supervisor Medical Records at Kaiser Permanente, you will oversee the duties and activities in the Health Information Management (HIM) department involved in the electronic medical record (EMR) and paper record. Your daily operations may include record processing, physician deficiency analysis, data integrity, transcription, and management of the Master Patient Index (MPI). You will coordinate and educate staff regarding standardization of business practices throughout the Region. You will implement organizational policies and recommend changes as needed. You will supervise assigned staff. This position is responsible for complete management of the HIM Department in the absence of the HIM Manager.

Essential Responsibilities:
  • Plan, analyze, coordinate, control, and supervise all activities of chart management, medical transcription services, and Patient ID staff related to release of health information processes.
  • Coordinate functions and needs of clinicians, ancillary departments, and other organizational units to facilitate chart management.
  • Direct workflow to ensure timely transcribed health information and timely chart management processes for clinicians and other staff.
  • Provide guidance and coordination for the process of implementing and running a document imaging operation to ensure chart availability for continuation of optimum patient care.
  • Responsible for working to reduce/eliminate MPI duplication and guides PID staff to perform merges/unmerges working with the clinical and ancillary staff.
  • Educate personnel and serve as liaison to Health Information Management with other organization units within Region concerning chart management and medical reports.
  • Develop, implement, and monitor tracking system for chart management and documentation.
  • Administer process for receiving, tracking, investigating, and resolving complaints concerning chart management and documentation.
  • Plan, develop, and conduct training to orient physicians and staff on policies, procedures, and methods of appropriate chart management, documentation, and dictation of patients' health information.
  • Act as chart management, dictation, and transcription resource to peripheral clinics and departments.
  • Other duties assigned by the HIM Manager.
  • Serve as system administrator for all dictation/transcription systems, mainframe, and PC applications. Analyze problems and formulate solutions with providers, department managers, and other related personnel and outside vendors. Maintain systems operations at maximum performance with assistance from Information Services and Telecommunications experts and vendors. Participate in testing upgrades and systems implementations with Information Services and Telecommunications experts and vendors. Evaluate new technology in dictation/transcription systems. Recommend procurement as deemed appropriate to enhance department service levels. Arrange for maintenance contracts on equipment as necessary. Interact with vendors seeking competitive prices and equipment for department. Ensure consistency of medical transcription, chart management, and documentation and confidentiality policies, procedures, and documents with KP policies, statutes, accreditation guidelines, and professional ethics.
  • Develop and implement plans/projects to improve operational efficiency and effectiveness. Monitor and report status and progress to manager. Research and analyze data to troubleshoot problems in areas of efficiency and productivity. Develop and implement solutions; report to management. Perform initial and periodic risk assessments. Conduct related ongoing compliance monitoring activities in coordination with compliance and operational assessment functions.
  • Hire, train, supervise, counsel, discipline, and terminate assigned staff as appropriate.
  • Communicate goals, objectives, accountabilities, priorities, and authority parameters to assigned staff.
Basic Qualifications: Experience
  • Minimum one (1) year of experience in medical transcription experience and chart management experience.
Education
  • Associates Degree in health-related field.
License, Certification, Registration
  • Registered Health Information Administrator within 12 months of hire from American Health Information Management Association OR Registered Health Information Technician within 12 months of hire from American Health Information Management Association
Additional Requirements:
  • Some knowledge of automated dictation and transcription systems and chart management.
  • Demonstrated knowledge of and skill in an electronic medical records system.
  • Demonstrated knowledge of and skill in project management, problem solving, oral communication, written communication.
  • Demonstrated knowledge of and skill in word processing, spreadsheet, and database PC applications.
Preferred Qualifications:
  • Experience in a Medical Transcription setting that included participation in quality control/improvement activities.
  • Supervisory/lead or project management experience.
  • Bachelors degree in Health Information Management, or a related field OR four (4) years of experience in a directly related field.
