Alutiiq, LLC is seeking a highly skilled General Clerk III Assistant Lead to support our contract with the Department of Homeland Security (DHS), U.S. Citizenship and Immigration Service (USCIS), Office of Human Capital and Training (HCT).
Key Responsibilities- Provide administrative support to the General Clerk III Lead and HCT staff, including front desk operations, email management, and filing systems.
- Coordinate meetings, conference calls, and training activities, and maintain schedules and meeting minutes.
- Support the administration of briefings, conferences, training activities, and online training systems.
- Manage and analyze records for the Learning Management System, and facilitate the issuance of Personal Identification Verification (PIV) cards and visitor access.
- Assist with training room setup, equipment movement, and local training sessions, course registrations, and cancellations.
- Conduct program research, collect data, provide data analysis, and create reports.
- Reconcile and review documents for spelling, grammar, format, accuracy, and other elements consistent with standards for professional business writing.
- Scan documents into electronic filing systems, and develop and maintain databases and documents supporting program management and training.
- Develop, review, and assess program management plans and Standard Operating Procedures.
- Monitor and track time and attendance of HCT staff, and review and prepare travel documentation based on the Federal Travel Regulation.
- Generate, monitor, and track IT requests for service and system access, and assist with the administrative tasks associated with Surge Capacity Force, Continuity of Operations (COOP), and Occupant Emergency Plans.
- Serve as the first point-of-contact to resolve issues between the Government and a contract employee in the absence of the General Clerk III - Lead.
- Support responses to Government inquiries regarding quality control, staff performance and scheduling, workload management and status, and other requests for information regarding the support provided to HCT.
- Support General Clerk III – Lead with the completion of the Monthly Report and other contractual deliverables.
- Monitor and track daily staff attendance and annual training requirements.
- Assist the General Clerk III – Lead with personnel recruitment, on-boarding, departure, and corrective actions.
- Provide periodic status updates to ACV leadership regarding HCT operational support requirements, staff performance, and other contract management issues.
- High school diploma or equivalent required; associate's or bachelor's degree preferred.
- Minimum 2 years of experience in administrative support or a related field.
- Excellent communication and organizational skills, with the ability to work independently and as part of a team.
- Proficiency in Microsoft Office and other software applications, with the ability to learn new systems and technologies.
- Ability to work in a fast-paced environment and prioritize multiple tasks and deadlines.
Payrate: $29.87 Hourly
