Job Summary

This role supports the operations of the Graduate Medical Education Office in key project management and administrative functions. The successful candidate will be responsible for coordinating various aspects of residency training, including credentialing, licensure, and certification. They will also provide administrative support to the Residency Program Directors and Coordinators, as well as maintain accurate records and databases.

Key Responsibilities
  • Coordinate the credentialing process for residents and subspecialty fellows, including obtaining licensure and certification as required by Federal and State law and Accreditation Council of Graduate Medical Education (ACGME) requirements.
  • Provide administrative support to the Residency Program Directors and Coordinators, including scheduling meetings, preparing agendas, and taking minutes.
  • Maintain accurate records and databases, including the Residency Management Suite database (New Innovations).
  • Prepare monthly Duty Hour reports and serve as a resource for education related to duty hour rules.
  • Run reports as needed for Licensing, Visas, Federal DEA numbers and malpractice coverage, etc.
  • Screen and process moonlighting requests and notify trainees whether their request is approved or denied.
  • Maintain accurate files on all current and former house staff and process all verification documents on former house staff in an accurate and timely manner.
  • Coordinate and participate in both Resident and Fellow orientations, including booking rooms, ordering food, preparing agendas, assigning trainee groups, and sending calendar invitations to speakers and vendors.
Requirements
  • Bachelor's degree or High School Diploma and Four (4) years of Residency experience.
  • Strong administrative and communication skills to support communication with internal and external customers.
  • Excellent oral and written communication skills, including tact and diplomacy in interactions with Residency Program Directors, Coordinators, Housestaff, and other administrative and medical staff members.
  • Demonstrated creativity and problem-solving skills, with the ability to proactively identify issues and bring them to the attention of the GME Director or Designated Institutional Official.
  • Experience in using a variety of computer software systems commonly used in GME offices, including developing expertise in New Innovations, Microsoft Office suite products, including Outlook, Access, and Excel.
